Responsibilities: • Manage and oversee client files to ensure accuracy and completeness of documentation, including facilitating the onboarding process for new clients. • Assist attorneys in preparing for consultations and client meetings. • Complete court forms, handle mailings and file necessary documents for cases. • Communicate with clients both in person and over the phone, addressing inquiries and providing regular updates on case progress. • Execute administrative duties such as data entry, filing, and maintaining records while meeting all filing deadlines. • Update and maintain the firm's case management system with precise and current information. • Uphold strict client confidentiality guidelines and safeguard sensitive information. • Collaborate efficiently with attorneys, fellow legal assistants, and support staff to ensure smooth workflow. • Engage in continuous professional development activities to enhance knowledge and skills in estate planning law. • Provide necessary administrative support to contribute to the overall efficiency of the firm. Qualifications: • Previous experience working as a legal assistant or paralegal, with a preference for experience in probate or trust administration or a related practice area in Ventura, CA, US. • Proficient in conducting legal research, drafting documents, and utilizing case management software in the context of estate planning law. • Strong focus on detail and exceptional organizational abilities to handle multiple tasks and meet deadlines effectively. • Excellent written and verbal communication skills to interact with clients and team members professionally. • Competency in using Microsoft Office Suite (Word, Excel, Outlook) and legal research databases. • Familiarity with estate planning terminology, procedures, and regulations is considered advantageous. • Understanding of the importance of client confidentiality and adherence to ethical standards in the legal profession. • Team-oriented mindset with proactive problem-solving skills and a collaborative approach to work. • Professional conduct and strong interpersonal skills to contribute positively to the workplace environment.
