We are looking for an experienced legal assistant who can help the attorneys at our law office assist clients. You’ll be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines. You’ll also assist with preparing legal documents and contracts, and perform any other tasks as needed to ensure our firm is operating efficiently. Responsibilities: Attorney-Focused Tasks • Keeps attorney's calendars and sends reminders. Assuring that the attorneys’ calendars are accurately maintained and organized. Assuring that the attorneys’ workdays are organized in a logical and efficient manner. • Reviews attorney’s calendar each morning, including deadlines, and ensures that the attorney is updated on all tasks and deadlines due over the next 5 days. • Retrieves and delivers assigned attorney’s voicemails and assures that copies are included in the Firm’s client electronic files. • Prepares and sends legal correspondence as directed by attorneys (puts documents keyboarded initially by attorneys into final form, ready to be delivered to courts, clients, and co-counsel and opposing counsel). • Drafts/Prepares first drafts of Drafts notices, motions, petitions, and other pleadings with case information and leaves for attorney review, editing, and specific legal drafting. • Drafts non-legal correspondence; and communication with the Firm’s external stakeholders. • Organizes the attorneys’ files; assures that the attorney has all the relevant materials ready when the attorney has meetings or leaves the office for court or outside meetings. Administrative Tasks • Sets up and manages new client and firm files. • Manages all Clio Tasks assigned to themselves and/or their attorney • Updates Clio custom fields for all Matters and Contacts associated with each of their assigned Attorney’s cases • Assist with Policies and Procedures Qualifications: • Candidates must have worked with legal software, case management, and docketing programs • Associate’s degree, or some college is preferred; high school diploma or equivalent is necessary • Candidates should be able to type at least 50 words per minute • Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times • At least 1-2 years of previous experience in a law firm setting performing administrative tasks Compensation: $12,000 - $15,000 yearly
