This dual-role position requires excellent communication, multitasking, and organizational skills to handle client intake processes and provide executive support to our leadership team. As a Legal Client Intake and Executive Support Specialist, you will meet with prospective clients, manage new client onboarding, and assist with various administrative tasks. This position requires excellent interpersonal skills and provides an opportunity for personal and professional growth in a collaborative setting. Responsibilities: Client Intake Responsibilities: 1. Initial Client Contact: • Serve as the first point of contact for potential clients via phone, email, or online inquiries. • Conduct initial client screenings to gather essential information, assess case eligibility, and determine client needs. • Schedule consultations and coordinate meetings between potential clients and attorneys. • Client Data Management: • Accurately input client information into the firm’s CRM or case management software. • Maintain confidentiality and handle sensitive information in compliance with legal and firm standards. • Follow-Up and Client Communication: • Follow up with potential clients post-consultation and manage ongoing communication to keep clients informed about their case status. • Respond promptly to client inquiries, ensuring timely and professional communication. Executive Support Responsibilities: 1. Executive Assistance: • Provide direct administrative support to firm leadership, including managing calendars, scheduling meetings, and coordinating travel arrangements. • Prepare meeting agendas, take notes, and assist in follow-up tasks to ensure key action items are completed. 2. Communication and Correspondence: • Draft, review, and send professional emails and correspondence on behalf of the leadership team. • Coordinate internal and external communications, ensuring that executives are kept informed of important updates. 3. Project and Task Management: • Assist with managing executive-level projects, tracking deadlines, and ensuring deliverables are met. • Provide administrative support on firm-wide initiatives, events, and client relations. 4. Office and Administrative Support: • Handle general office tasks such as ordering supplies, managing vendor relationships, and maintaining the executive’s office space. Qualifications: • Strong communication skills, both verbal and written. • Proven experience in client service or intake roles, preferably in a legal environment. • Strong organizational and multitasking abilities, with a keen attention to detail. • Proficiency in Microsoft Office Suite and experience with CRM or legal case management software. • Ability to handle sensitive and confidential information with discretion. • Experience providing executive-level administrative support is a plus. • Ability to work independently and collaboratively in a fast-paced environment. Compensation: $25 to $28 per hour
