Posternock & Apell, P.C. is in search of a Legal Intake and Client Services Coordinator for our Moorestown, NJ office. We are looking for a detail-oriented and proactive individual to oversee client intake processes for estate planning, organize workshops and events, and deliver exceptional client support. The ideal candidate should have excellent communication abilities, a keen eye for detail, love metrics, talking to people, and the capacity to juggle multiple tasks effectively within a dynamic setting. Responsibilities: Key Responsibilities: Client Intake and Management: • Serve as the primary point of contact for clients in the Estates Department, handling inquiries, scheduling appointments, and providing information about estate planning services. • Conduct intake interviews with clients, gathering necessary information and documents for estate planning, probate, and estate litigation. • Maintain and update client records and case files in a confidential and organized manner. • Run and Manage the CRM system. Workshops and Events Coordination: • Schedule and coordinate workshops and events for the Estates Department, including venue selection, speaker arrangements, and logistics. • Promote workshops and events through various channels, such as social media, email, and community outreach. • Follow up with attendees to confirm attendance. • Post-workshop outreach. Client Contact: • Point of contact for clients. • Coordinate and participate in estate planning signings, ensuring all necessary documents are gathered and organized for the signing process. • Assist attorneys and clients during the signing process, addressing any questions or concerns. Community Relations and Outreach: • Develop and maintain relationships with community organizations and groups, scheduling the firm for seminars. • Represent the firm at community events and functions, promoting our estate planning services and building brand awareness. • Responsible for setting up and manning booths at community events. Qualifications: • Bachelor's degree in a related field or equivalent experience. • Proven experience in client services, event coordination, or a related role. • Knowledge of estate planning and legal processes is preferred. • Excellent communication and interpersonal skills. • Strong organizational and multitasking abilities. • Proficiency in Microsoft Office Suite and other relevant software. • Ability to work independently and as part of a team. • Flexibility to attend workshops and events outside of regular business hours as needed. Compensation: $40,000 - $55,000 yearly
