The Legal Mailroom Clerk is pivotal in ensuring seamless operations within our law firm's administrative department. This position revolves around overseeing the logistical aspects of legal filings, managing incoming mail, and handling critical data entry tasks. The LMC will also be responsible for coordinating printing, scanning, and maintaining the integrity of documents crucial to the legal team's workflow. Responsibilities: • Oversee and coordinate the process of printing, scanning, and shipping legal fillings for the legal team. • Ensure accuracy, completeness, and timely delivery of all fillings according to specified guidelines and deadlines. • Liaise with couriers and postal services to guarantee efficient and secure shipment of legal documents. • Conduct meticulous data entry tasks, ensuring accuracy and confidentiality in handling sensitive information. • Maintain an organized and easily accessible electronic and physical filing system. • Collaborate with the legal team to ensure documents are correctly labeled, filed, and accessible as per requirements. • Uphold compliance standards and protocols pertaining to legal filings and document handling. • Perform quality checks on outgoing and incoming documents to guarantee accuracy and adherence to regulatory standards.Maintain comprehensive records and generate accurate reports on all shipments, including tracking information and delivery status. • Collaborate with relevant stakeholders to develop efficient data reporting mechanisms, ensuring transparency and accountability in logistics operations. • Update client's e-files in case management software. • Occasional driving may be required to deliver and/or pick up packages. SKILLS ABILITIES: • Strong organizational skills with the ability to prioritize and manage multiple tasks efficiently. • Proven experience (preferably in a legal setting) managing legal filings, mail handling, and data entry. • Proficient in using office equipment (printers, scanners) and shipping software, with the ability to quickly learn new tools and systems. (UPS, USPS, FedEx, DHL) • Attention to detail, especially in ensuring accuracy in shipping labels, sorting, and filing. • Effective verbal and written communication skills. • Strong problem-solving skills and ability to troubleshoot issues related to shipments or mail processes. • Ability to maintain confidentiality and handle sensitive information appropriately. • Ability to lift and move packages up to 25lbs. • Bilingual, preferred. (English/Spanish). Qualifications: • High school diploma or equivalent required. • At least 2 years of experience in an administrative role. • Strong computer and data entry skills. • Proficient - MS365. • Experience in a fast-paced office setting. • Valid Driver’s License.
