We are seeking a skilled Legal Secretary to provide specialized secretarial and clerical support to our Litigation team in New York. This role will involve preparing and processing legal documents, maintaining client relationships, managing schedules, and supporting attorneys with their administrative needs. The ideal candidate will have strong organizational skills, proficiency in legal terminology, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Document Preparation: Prepare documents including transcription from dictation, drafts, handwritten notes, or oral instructions. Redline and proofread documents to ensure accuracy.
- Communication: Handle incoming and outgoing telephone calls professionally. Maintain good client relationships for attorneys.
- Timekeeping and Billing: Enter time using Intapp on a daily basis and maintain appropriate records. Review and handle prebills.
- Filing and Recordkeeping: Create and maintain files, including chronological files, indexes, and ensuring materials are forwarded to the Information Governance department.
- Business Development Support: Use the CRM tool to support business development by managing attorney contacts and resolving conflicts.
- Travel Arrangements: Make all necessary travel arrangements following the firm’s Travel Policy.
- Legal Document Management: Type litigation pleadings, and discovery documents, and arrange for filing and service of documents as required. Electronically file and serve court documents.
- General Support: Assist other secretaries, prepare New Business Forms, handle expense reports, and coordinate meetings.
Required Skills and Experience:
- Proficiency in Firm Tools: After orientation, exhibit proficiency in the Microsoft Office suite, iManage, and other firm applications.
- Attention to Detail: Ability to work fast and accurately with excellent attention to detail.
- Legal Knowledge: Keep up to date with court rules and legal terminology.
- Availability: Ability to work overtime as needed.
- Preferred Qualifications:
- Previous litigation secretarial experience.
- College degree or business college certificate.

Compensation and Benefits:
- The expected hourly pay range for this position in New York, NY, with a 35-hour workweek is $34.00 - $49.00 ($61,880.00 - $89,180.00 annually).
