This role will focus on managing new client intake, at times handling large volumes of client and referral partner communications, and efficiently progressing transactions. Responsibilities: • Contract Intake & Support: Intaking contracts, generating retainer agreements, and ordering documentation needed to progress transactions towards closing. • File Management: Organize, maintain, and update client files, ensuring all documents are properly filed for easy access. • Communication: Ability to manage a high volume of incoming emails, phone calls, and other communications from clients, referral partners, and third-party agencies. Respond professionally and promptly to inquiries. • Scheduling: Coordinate and schedule appointments, consultations, and file review meetings, including managing the office calendars. • Data Entry: Accurately input client information and file updates into the file management system. • Support Legal Team: Provide general support to counsel and other legal staff as needed. Qualifications: • Experience: At least 3-5 years of experience as a legal assistant or in a customer service role within a law firm or related residential real estate setting. • Education: associate or bachelor’s degree preferred. • Skills: Strong attention to detail, excellent verbal and written communication skills, and the ability to handle sensitive information with confidentiality. • Technical Proficiency: Experience with case management software, Microsoft Office Suite, and general office equipment. • Organizational Abilities: Skilled in multitasking, prioritizing tasks, and managing deadlines effectively. Compensation: $21 - $26 hourly
