The position available is for a licensed, personal assistant for a team within Berkshire Hathaway HomeServices The Preferred Realty. The candidate will need to be an individual who is very detail oriented, can anticipate needs, and has the ability to learn and build based on the education provided. This position requires the ability to work in a fast-paced environment while managing multiple projects, deadlines and demands. Position can be M-F 9-2 or Full Time. The individual will be held to a high standard of excellence and be expected to keep a professional demeanor with a positive attitude. The individual will interact with clients from the beginning of a sale to close, ensuring a successful transaction. Maintaining exceptional communication, poise, professionalism and the ability to manage confidential and sensitive information appropriately is critical. Customer service is our top priority. This is an in-office (not remote) position in the North Hills (15237 zip code). Responsibilities: Tasks are subject to change at any given time. Tasks can be applied or removed as deemed necessary • Prepare pre-listing presentations as needed (requires basic use of Canva) • Prepare listing and/or sale paperwork in ZipForms using information provided, prepare estimated cost sheets, verify property taxes and distribute for signature • Work closely with team Transaction Coordinator to ensure document compliance, deadlines, details, and all necessary communication between parties • Oversee ordering of sign-up and sign-down requests and installation of riders • Assist in managing and maintaining CRM (Client Resource Management) including responding to online inquiries • Input information into various websites & databases • Collect and organize data then transmit into reports & spreadsheets including maintaining ongoing documentation of production, year to date client details, and referral sources • Prepare and proofread documents, schedule appointments, manage files, draft letters and send emails • Phone current and past customers as necessary • Oversee the creation and implementation of annual mailings • Assist with printing and processing of just listed/just sold mailings • Maintain team calendar and update both in-office and online • Follow all steps necessary to close out transactions; scan file, prepare year-end tax mailing, log new addresses in CRM, request review, etc. • Prepare materials for hosting agent in advance of open houses • Assist with social media presence for team visibility and listing promotion • Skill Set Requirements: • Administrative experience • Proficiency using WPMLS,/Matrix, ZipForms, Docusign, Canva, and document management system • Strong familiarity and understanding of standard real estate contracts and forms • Willingness to learn and further educate • Thrive in a busy work environment • Ability to multitask • Well organized • Strong communications skills, both verbal & written • Attention to detail in composing, typing and proofing materials • Competent mathematical skills are critical • Proficiency in word and excel is essential Qualifications: • A valid Real Estate License is required for this job • Present yourself in a professional manner • Proficient at using WPMLS/Matrix • Proficient at using ZipForms • Proficient at using DocuSign • At least basic knowledge using Canva • Familiar with process of posting on various social media platforms Compensation: $18 - $25 hourly
