    Construction Project Lien Specialist – Job Description

    We are seeking a detail-oriented and experienced Construction Project Lien Specialist to join our team in the Charlotte or Raleigh, North Carolina area. This role is fully remote with occasional required travel to local offices. The ideal candidate will be responsible for preparing, serving, and recording liens and releases across multiple states, as well as conducting property and ownership research, printing and mailing documents, and ensuring precise communication and documentation throughout the lien process.

    Duties/Responsibilities for Construction Project Lien Specialist:

    • Execute Lien Filing Process: Utilize a thorough understanding of state-specific filing requirements to ensure lien filings are executed accurately and in compliance with regulations.
    • Subject Matter Expert: Act as the go-to expert on liens, collaborating closely with the Credit and Collections departments to ensure all lien-related processes are properly handled.
    • Lien Release Forms: Monitor and update lien release forms as needed, ensuring they reflect changes in state-specific lien waiver requirements.
    • Lien Filing and Release Oversight: Take responsibility for the entire lien filing and release process, creating an efficient workflow to streamline operations.
    • Collaboration with Credit Department: Work alongside the Credit Department to assess lien rights for potential accounts, ensuring a thorough understanding of the client’s account status.
    • Collections Department Coordination: Partner with the Collections Department to evaluate lien rights for accounts that may be deficient or require further action.
    • Document Coordination: Oversee the printing, signing, notarizing, and scanning of lien documents to ensure accuracy and compliance with legal requirements.
    • Lien Waiver Inbox Management: Manage lien waiver inboxes, reviewing documents, obtaining signatures, and ensuring all necessary notarizations are completed.
    • Mailing Services Management: Handle the processing of FedEx, registered mail, or other forms of mailing for notice and lien services to ensure proper delivery.
    • Assist with Filing and Tracking: Support the department with filing, serving, and tracking lien documents. Work across departments to ensure timely completion of tasks.
    • Project Setup and Data Entry: Assist in the setup of projects, inputting necessary data, and verifying information to ensure smooth project operations.
    • Document Accuracy: Review lien documents for completeness and accuracy, obtaining all necessary signatures before proceeding with filings.
    • Client Communication: Contact clients via phone as needed to verify information, clarify discrepancies, and ensure accuracy in lien documentation.

    Required Skills/Abilities:

    • Experience with Construction Project Liens: Proven experience in preparing and processing construction project liens and legal notices, ensuring compliance with state laws and regulations.
    • Familiarity with Document Recording: Understanding of the procedures for recording lien-related documents with city or county officials.
    • Attention to Detail: Strong attention to detail and a commitment to maintaining a high level of accuracy when handling lien filings and related documentation.
    • Research and Interpretation of Lien Statutes: Ability to effectively research and interpret state lien statutes, property ownership details, and other legal requirements as they relate to construction liens.
    • Document Management Skills: Strong typing, proofreading, and document management skills, ensuring that all lien and release documentation is accurate and well-organized.
    • Excellent Communication Skills: Ability to communicate effectively with clients, internal teams, and external partners, ensuring all lien processes are clearly understood and followed.
    • Proficiency in Internet Research: Skilled in using online research tools and databases to gather property and ownership information, as well as track lien status.

    Physical Requirements:

    • Prolonged Sitting: Must be able to sit at a desk for extended periods while performing desk-based tasks.
    • Remote Work Setup: This is a remote position; a home office with reliable internet access is required to perform job functions effectively.
    • Daily Travel to Post Office: Will need to travel to the post office regularly to mail lien-related documents and notices.
    • Occasional Local Travel: Some travel to local branches in Charlotte or Raleigh, NC, may be required for meetings, document filings, or other departmental needs.

    This position requires a combination of legal knowledge, organizational skills, and the ability to work independently while maintaining accuracy and attention to detail. The remote nature of the role offers flexibility, with the expectation of occasional travel to local offices or post office locations.
