    Job Title: Litigation Support Specialist (Pacific Time Hours)

    Location: Hybrid (Phoenix, AZ)

    Schedule: 25 hours per week, Monday-Friday, 1:30 PM – 6:30 PM PST (flexibility/overtime as needed)

    Compensation: $30-31 per hour, based on experience

    Job Summary:

    We are seeking an experienced and highly organized Litigation Support Specialist to support our law firm client’s litigation team during Pacific Time business hours. This role requires a proactive individual who can effectively delegate, distribute, and follow up on tasks assigned to legal assistants and support staff. The ideal candidate will have strong experience in legal operations, workflow management, and task coordination, ensuring efficiency and accuracy in litigation-related document processing and administrative tasks.

    This position will begin as a hybrid role in Phoenix, AZ

    Key Responsibilities:

    Workflow Management & Coordination

    • Assign, distribute, and track legal administrative tasks to ensure timely and accurate completion.
    • Monitor workload distribution among legal assistants and support staff, adjusting as needed to meet deadlines.
    • Serve as the central point of contact for workflow-related inquiries and escalations.
    • Follow up on assigned tasks, ensuring accountability and adherence to established priorities.

    Legal Support & Delegation

    • Assist in managing litigation-related workflows, ensuring compliance with firm standards and legal requirements.
    • Support legal teams by coordinating document preparation, review, and filing.
    • Oversee task prioritization based on case deadlines and urgency.
    • Coordinate with attorneys, paralegals, and other staff to streamline workflow processes.

    Communication & Collaboration

    • Act as a liaison between attorneys, paralegals, and support staff to facilitate smooth task execution.
    • Provide regular updates to legal teams regarding task progress and completion.
    • Communicate any workflow bottlenecks or inefficiencies to leadership, suggesting improvements.
    • Ensure seamless handoff of tasks between time zones, maintaining workflow continuity.

    Process Optimization & Compliance

    • Maintain and refine task delegation protocols to enhance efficiency.
    • Ensure legal documentation follows firm policies, industry best practices, and compliance requirements.
    • Support continuous improvement initiatives, recommending tools and strategies to enhance workflow management.
    • Handle confidential information with the utmost discretion and integrity.

    Qualifications & Experience:

    • Education: Bachelor’s degree preferred; relevant work experience will be considered in lieu of a degree.
    • Experience: Minimum 5-6 years of experience in legal operations, litigation support, or workflow coordination.
    • Strong background in task delegation, follow-ups, and workflow management within a legal setting.
    • Familiarity with litigation processes, legal terminology, and document management.
    • Experience working with legal practice management software, document automation, and time-tracking systems.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat.
    • Knowledge of legal formatting, case management software, and document review platforms is a plus.

    • Strong Communication: Excellent verbal and written communication skills, with the ability to collaborate effectively across teams.
    • Attention to Detail: Ability to proofread, track deadlines, and maintain accuracy in legal documentation.
    • Problem-Solving: Proactive approach to identifying and resolving workflow bottlenecks.
    • Time Management: Ability to oversee multiple deadlines and keep teams aligned with litigation schedules.
    • Technological Proficiency: Comfortable with legal technology tools and workflow automation platforms.
