The Event Manager coordinates the scheduling and related processes for facilities and services for all customers, including students and their organizations, internal departments, and external organizations that plan to use the Harre Union and the other areas of campus the Union oversees in other building spaces, for all events. The Event Manager provides supervision and development of student administrative support staff. The Event Manager also supports the summer camps and conferences program and provides service to customers. The Event Manager coordinates reception and customer service desk practices. The Event Manager works collaboratively with the Union staff and other University departments to help ensure the success of events. The Event Manager serves the campus as the point of contact for EMS software utilization, training and space reservation and scheduling across campus for all areas overseen by the Union.
MAJOR RESPONSIBILITIES:
- Oversee and manage all aspects of scheduling events and reservations for the Union and the areas it oversees during different times all around the campus
- Support student staff and supervise student administrative staff assistants
- Guide all internal and external customers through the event planning process
- Interpret and communicate all campus and Union policies, guidelines and requirements to all customers
- Assist in the development, marketing, and customer service to summer camps and conferences
- Monitor and adapt event preparations and work with the Director to meet customer needs
- Serve as a primary liaison between clients, Facilities Management, Catering services, Parking, and other campus offices for events
KNOWLEDGE AND SKILLS:
- A 2-year or a 4-year college degree required
- Ability and experience working with students and people from diverse backgrounds
PREFERRED QUALIFICATIONS/SKILLS:
- Master’s degree preferred (student affairs/higher education or related area)
- Experience working at a College/University or Student Union preferred
- Knowledge of or ability to learn event-planning processes
- Knowledge of and/or the aptitude to learn and use computer scheduling software, EMS experience is preferred
- Excellent organizational, planning, and interpersonal skills
- Must possess excellent customer service skills
- Excellent verbal and written communication skills
- Ability to work under limited supervision and to interact with all levels of staff and faculty at a University
- Ability to prioritize multiple projects at the same time
- Ability to understand business and billing processes
- Ability to assist with the development of training programs and present to student staff or campus staff
- Ability to adapt to a constantly changing environment
- Experience and ability to work within a team environment
- Must be creative and self-motivated
- Ability to problem solve and develop effective solutions
- Experience in internal process improvement in an organization
- Must be able to work a flexible schedule when asked that may include some evenings and weekends based on events
- The willingness to work at a University committed to Christian higher education in the Lutheran tradition
