    Job Summary The Logistics Support Specialist plays a vital role in optimizing the supply chain and ensuring the efficient movement of the shipping and receiving processes. This position involves undertaking a variety of clerical, recordkeeping, customer service tasks, managing inventory, and providing support to the logistics team to enhance overall performance that are crucial to our daily operations.

    The Logistics Support Specialist also serves as the first point of contact for all visitors, providing a welcoming atmosphere and ensuring efficient operation of the office. This role involves a variety of administrative and clerical tasks to support the overall functioning of the organization.

    Responsibilities

    Welcome all visitors in a professional manner. Ensure that all visitors and personnel sign in upon arrival and sign out upon departure from the premises. Direct them to the appropriate departments or personnel.

    Manage incoming phone calls by taking messages and forwarding calls as needed. Respond to inquiries with accurate information in a courteous tone.

    Perform data entry and maintain filing systems. Schedule appointments and manage calendars as necessary.

    Sort, receive, and distribute incoming mail and packages. Prepare outgoing mail and packages for shipping.

    Work closely with the Inventory Specialist to monitor office supplies and inventory, placing orders as necessary. Ensure that the front lobby is stocked, tidy, and organized.

    Collaborate with other departments to coordinate meetings and events. Provide administrative support to management as needed.

    Organize transportation verification for incoming and outgoing goods, liaising with the Customer Support Specialist and Customer Material Specialist to ensure timely deliveries. This role requires scheduling truck loads based on input from both the Customer Support Specialist and the Customer Material Specialist.

    Work closely with the Customer Support Specialist and Customer Material Specialist to process all incoming and outgoing shipments.

    Maintain accurate records of inventory, shipments, and logistics activities in the company’s designated Enterprise Resource Planning (ERP) and management systems.

    Work closely with the Inventory Specialist to monitor inventory levels and incoming shipments, ensuring that supplies are available to meet operational needs.

    Develop purchase orders as requested by the Logistics Coordinator, ensuring accurate tracking of deliveries and shipments while maintaining effective communication with vendors.

    Maintain logs for vendors, suppliers, mileage, and gas records.

    Create detailed customer receiving reports that accurately document the receipt of materials.

    Assist in day-to-day warehouse operations by providing administrative support as needed and troubleshooting logistical issues.

    Process Bills of Lading (BOLs), which are essential documents outlining the specifics of shipments, including the type, quantity, and destination of goods, to facilitate smooth transportation and logistics operations.

    Communicate with internal teams to address inquiries and resolve issues related to shipping, receiving, and inventory.

    Ensure compliance with company policies, guidelines, regulations, and safety standards in all tasks.

    Analyze logistics data to identify trends, inefficiencies, and areas for improvement within the supply chain processes.

    Any additional tasks that are considered necessary by corporate management or other management.

    Working Conditions

    This role may involve working in both an office setting and a warehouse environment. Candidates should be prepared to adapt to various conditions and have a flexible schedule to accommodate logistics operations. The position generally requires extended periods of sitting at a desk while using a computer and phone. The Logistics Support Specialist may also need to work occasional overtime during peak periods or special events.

    Physical Requirements

    The physical requirements for this position include the ability to sit at a desk and work on a computer for extended periods. The Logistics Support Specialist must be able to lift up to 50 pounds when necessary and access all departments within the organization's facilities.

    Qualifications

    High school diploma or equivalent

    Previous experience in logistics, supply chain, or inventory management is preferred

    Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experienced with logistics management software

    Strong analytical, organizational, and problem-solving skills

    Excellent verbal and written communication skills, as well as strong interpersonal abilities

    Ability to multitask and work both independently and as part of a team in a fast-paced environment

    Professional demeanor and customer service orientation

    Preferred Qualifications

    An associate’s degree in logistics, supply chain management, or inventory management is preferred.
