We are seeking a dynamic and driven individual to join our team as a Luxury Travel Administrative Assistant. The ideal candidate will possess a strong work ethic, obsessive attention to detail and a self-starter mentality. The successful candidate will be an organizational wizard and possess the ability to anticipate the needs of both advisors and clients. They will thrive in a fast-paced environment and be able to manage multiple tasks with ease. This is an entry-level on a rapidly expanding team. Responsibilities: The main responsibility is to help oversee the coordination of luxury travel for Away We Globe. That includes: • Support Away We Globe advisors to provide amazing service for high-end clients • Research hotel and airline rates • Correspond with suppliers (hotels, operators independent guides) to coordinate ground, dining, and entertainment arrangements • Help manage operations process on both pre and post-trip activities • Solve or triage emergency travel problems that arise • Charge client's credit cards for planning and inquiry fees • Work directly with restaurants to secure/change/update dining reservations • Create and keep client travel documents such as itineraries and invoices updated • Enter data into CRM (trip feedback, account/client information, passport information, etc.) • Learn and use Away We Globe tools including AirTable, SION, AXUS, Google Sheets, and Hubspot • Assistance with commission inquiries • Willingness to work on a variety of tasks Qualifications: 2+ years of administrative assistant experience • Preferably based in the CEST/CET timezone • University graduate • Detail-oriented, excellent time-management organizational skills with the ability to handle multiple projects simultaneously • Strong technology background on organizational platforms (e.g. Google Suite) • Fluent verbal and written communication skills • Can work both weekend days and at least 3 weekdays • Strong work ethic and identifies opportunities to take on more • Ability to handle high-stress situations and remain calm • Team player, able to work independently and within a team • Proactive and resourceful; an intuitive problem-solver • Passion for the travel industry is a strong plus
