We are seeking a detail-oriented and organized Medical Records Clerk to join our team. This person will be responsible for creating subpoenas related to medical records. This role involves processing requests for medical records, ensuring compliance with legal and privacy regulations, and providing records to authorized parties.
KEY RESPONSIBILITIES:
Receiving and Creating Subpoenas: Handle and process requests for medical records, including subpoenas from legal parties and other authorized entities.
Verifying and Ensuring Compliance: Verify the validity of requests, ensuring they comply with relevant laws, regulations, and the organization's policies, including HIPAA.
Compiling and Retrieving Records: Compile, abstract, and retrieve the necessary medical records from various sources, including physical files and electronic health record systems.
Releasing Information: Release medical records to authorized parties, including attorneys, insurance companies, and other entities, adhering to strict confidentiality guidelines.
Documentation and Record Keeping: Maintain detailed records of requests, releases, and any related actions, ensuring accurate documentation and tracking of all activities.
Coordination and Communication: Communicate effectively with staff, legal representatives, and other parties, providing assistance and addressing inquiries related to the status of medical record requests.
SKILLS AND QUALIFICATIONS:
MUST HAVE:
Excellent Communication Skills: Ability to communicate clearly and professionally with various stakeholders.
Attention to Detail: Ability to accurately and meticulously handle sensitive information.
Problem-Solving Skills: Ability to identify and resolve issues related to record requests and releases.
Intermediate skill in the use of MS Office software (Word, Excel) required.
Must type >40 WPM
NICE TO HAVE:
Familiarity with Legal Processes as Related to Medical Records: Understanding of legal procedures, subpoenas, and court orders
Technical: Familiarity with software programs for legal records services, records management or record-keeping preferred
Understanding of HIPAA and Other Regulations
