POSITION SUMMARY
This position will report directly to and will maintain consistent communication with the Maintenance Supervisor and Co-CEO's for all job tasks. The maintenance coordinator plays a crucial role in ensuring that all maintenance activities within an organization are carried out effectively and efficiently and will be responsible to coordinate and oversee the daily tasks directly. This position is directly responsible for all billing and data entry for the business operations. This position requires driving a personal vehicle on behalf of the company capable of delivering materials to job sites; therefore, the prospective employee must successfully complete a motor vehicle history check, possess, and maintain a current, valid driver’s license in their state of residence, and maintain insurance coverage of at least the minimum amount required by California law.
JOB REQUIREMENTS
Key Responsibilities:
Property Maintenance
Use AppFolio to keep track of all daily work.
Ensure all work orders are properly updated with notes as well as before and after photos prior to closing.
Maintain accurate records of maintenance activities, repairs, and costs.
Plan and schedule maintenance tasks and projects with the objective of timely resolving all work orders.
Coordinate to prioritize maintenance needs and minimize disruption to operations.
Directly coordinate Maintenance Foreman, Maintenance Technicians, Property Management Team, Residents, and Vendors for coordination of all scheduled projects.
Provide guidance and support to ensure tasks are completed efficiently and safely.
Prepare reports for management on maintenance performance and issues.
Invoicing and Billing
Manage the company billing to ensure timely invoicing and payments.
Monitor expenditures and implement cost-saving measures where possible.
Maintain inventory of maintenance supplies & equipment. This includes weekly travel to Los Angeles warehouse to verify inventory and meet with team as needed.
Coordinate purchase of necessary items to support maintenance activities.
Safety & Community
Maintain frequent and consistent communications with all parties.
Ensure preventive maintenance schedules are followed.
Enforce all safety and regulatory policies and standards.
Take appropriate safety precautions for every project.
Keep abreast of regulations and best practices related to maintenance operations.
Requirements
Proven experience as a Maintenance Coordinator or similar role.
Computer skills are required. Prior experience with QuickBooks and AppFolio is preferred.
Strong organizational, communication, and interpersonal abilities.
Attention to detail and problem-solving skills.
Must be able to quickly learn and utilize work order and timesheet computer software programs.
Customer service positive attitude.
Bilingual English and Spanish is preferred.
Full Time position located in La Jolla, CA corporate office.
Ability to travel to Los Angeles warehouse to meet with maintenance team and track inventory.
Valid Driver’s License with insurance.
Compensation
The hourly rate is equivalent to a salary of $65,000 - $85,000 based on experience and qualifications, paid biweekly.
75% Employer-sponsored health insurance is available after a 90-day probationary period.
1-week paid vacation accrual starting after 90-day probationary period.

Office space at corporate office in La Jolla comes fully equipped.
All supplies are provided by management.
