    THIS ROLE IS BASED IN OUR MAUI OFFICE AND CANDIDATES MUST LIVE ON MAUI.

    There may be times when this person will need to drive to client locations on Maui, so reliable transportation is important.

    WHO WE'RE LOOKING FOR: 

    We are looking for an Office Coordinator who is driven by customer service, is incredibly detail oriented, can follow written and verbal instructions and truly cares about our clients. You must have some customer service experience and be willing to work in a fast-pasted, growing company. This is a deadline driven role, so you must work well under pressure, keep organized and prioritize as multiple requests can come in at the same time. Payroll experience would be a plus, but it is not required.

    THIS ROLE IS BASED ON MAUI AND DOES REQUIRE YOU TO WORK IN THE OFFICE.

    EDUCATION AND EXPERIENCE YOU’LL NEED TO SUCCEED: 

    Required: 

    • 2+ years of customer service, hospitality, and/or client success experience 

    • Patience and empathy to help individuals complete paperwork and answer detailed questions about their account with us  

    • Ability to work M-F 8a-5p Hawaii time in our Maui office (This is not a remote position)  

    • Self-starter that can meet required deadlines  

    • Passion for creating a warm, welcoming environment in our office  

    • Technology-literate and savvy with a strong knowledge of CRM software and MS Office

    Preferred 

    • 1+ year of payroll experience  

    • Valid Hawaii drivers license, vehicle, and clean driver abstract

     

     

    THIS ROLE WILL CONTRIBUTE IN THE FOLLOWING WAYS: 

    PAYCHECK DISTRIBUTION: 

    • Primary duties will include folding checks and stuffing and applying postage to envelopes, following client specific mailing instructions, ensuring paychecks are mailed by carrier deadlines.  
    • Create shipping labels, sort checks to appropriate distribution parcels and ship prior to cut-off times.  
    • Greet clients and employees in-person who wish to pick up their checks. 
    • Work with local courier service company to ensure paychecks are delivered timely.  
    • There may be occasions where you need to drop off paychecks to a client location on Maui.

     

    ASSISTING WITH NEW HIRE FORMS: 

    • Warmly welcome client employees to the office.  
    • Provide the appropriate new hire paperwork that needs to be completed and provide assistance on completing the paperwork.

    CUSTOMER SERVICE PHONE LINE:  

    • As a part of our customer service phone queue you will answer calls from clients and their employees on a variety of topics. You will be responsible for creating a warm and positive experience to answer their question or get them to the correct team member who can.  
    • Using our CRM system, you will create cases and follow written process documentation to assign the case to the correct team member to complete.

     

    OFFICE MANAGEMENT:  

    • Order supplies as needed including check stock, ink, and guest refreshments.  
    • Ensure the Maui office is tidy and professional.
