    Job Description

    The Manager of Admissions Financial Operations will oversee the day-to-day operations of the Financial Counseling Team, ensuring efficient, compliant, and patient-focused financial support for those seeking care at Discovery Behavioral Health (DBH). This role will lead a team responsible for financial discussions with patients and families, financial clearance, and coordination of front-end collections.

    The Manager will work closely with the Admissions Team, Verification of Benefits (VOB) Team and Financial Counseling (FC) Team to ensure seamless workflows, staff alignment, and optimal patient access experience. The ideal candidate will have a strong understanding of healthcare financial counseling, insurance, and patient access processes, coupled with exceptional leadership and communication skills.

    Leadership & Team Management

    • Provide daily oversight and leadership to the Financial Counseling Team, ensuring staff accountability and efficiency in financial discussions with patients.

    • Foster a culture of patient advocacy, transparency, and collaboration within the financial counseling function.

    • Monitor team performance and provide coaching, feedback, and professional development to support employee growth and effectiveness.

    Financial Counseling & Patient Support

    • Ensure patients and families receive clear, accurate, and compassionate financial counseling regarding treatment costs, insurance coverage, and available payment options.

    • Assist patients in understanding financial responsibilities, securing financial assistance, and setting up payment arrangements.

    • Oversee the financial clearance process, ensuring timely and comprehensive communication with patients regarding their financial obligations.

    • Work closely with the Admissions Team and Verification of Benefits (VOB) Team to ensure all financial information is properly gathered, documented, and communicated.

    Process Improvement & Compliance

    • Continuously assess and refine financial counseling workflows to improve efficiency, patient experience, and revenue cycle performance.

    • Ensure compliance with all healthcare regulations, payer requirements, and internal financial counseling policies.

    • Utilize data analytics to track financial counseling effectiveness, measure process efficiency, and identify opportunities for improvement.

    Collaboration & Communication

    • Serve as the primary liaison between Financial Counseling (FC) and Revenue Cycle Management (RCM) teams to ensure seamless financial processes.

    • Work in tandem with Admissions Coordinators (AC) to ensure timely patient financial education and support.

    • Proactively communicate financial trends, challenges, and operational updates to leadership, ensuring transparency and accountability.

    Training & Development

    • Develop and deliver ongoing training programs to strengthen financial counselors’ knowledge of insurance policies, patient collections, financial assistance options, and compliance requirements.

    • Provide Salesforce training to financial counselors, ensuring proficiency in system navigation, data entry, reporting, and workflow optimization to enhance efficiency and accuracy.

    • Streamline Salesforce workflows to improve financial counseling processes, reduce redundancies, and enhance patient financial interactions.

    Data Analysis & Reporting

    • Monitor key performance indicators (KPIs) related to financial counseling effectiveness, patient satisfaction, and revenue cycle efficiency.

    • Provide regular reports on financial clearance trends, patient payment plans, and opportunities for workflow improvements.

  • Qualifications

    Qualifications

    • Bachelor’s degree in Healthcare Administration, Business, Finance, or a related field preferred.

    • Equivalent work experience may be considered.

    Experience:

    • Minimum of 3-5 years of experience in healthcare financial counseling, admissions, or revenue cycle management.

    • Previous leadership or supervisory experience in a healthcare setting required.

    • Strong knowledge of insurance verification, financial clearance, patient financial assistance programs, and revenue cycle processes.
