    POSITION OVERVIEW

    The Marketing & Brokerage Coordinator position will focus equally on Office Operation tasks and Marketing tasks all while supporting the transaction professionals in the following capacities:

    Marketing Coordination Responsibilities:

    • Support the Senior Marketing Specialist and team with the prioritization, creation and maintenance of marketing materials.
    • Collaborate with internal resources to support the creation and maintenance of marketing materials and the distribution of e-blasts.
    • Track, collate, and maintain inventory of marketing materials.
    • Coordinate with internal resources to support pitch and proposal coordination.
    • Help organize and collect information needed for proposals, pitches, and presentations.
    • Manage leasing signage, e-blast calendar, and tour book compilation while also acting as a liaison for the marketing team when coordinating new assignments, pitching new business, and creating collateral.
    • Help coordinate client/broker/team events.
    • Work with marketing to maintain Stream’s brand and consistency in updating outgoing marketing materials including flyers, proposals, tour books, maps, floor plans, and other sale materials.

    Brokerage Coordination Responsibilities:

    • Support team members by serving as the first point of contact for client requests and relationship management.
    • Answer phones, greet guests and ensure a welcoming and efficient front desk experience
    • Handle office supply orders and keep track of inventory to maintain a fully stocked and functional work environment.
    • Coordinate appointments with internal and external clients and arrange any other accommodations that may be required.
    • Coordinate on/off-site meetings. May schedule appointments, keep calendars and arrange travel itineraries and meeting room reservations.
    • Support day-to-day administrative functions such as travel and expense management, marketing, pipeline management, report preparation, and related activities.
    • Respond to general inquiries and provide information as needed, while maintaining confidentiality in all communication.
    • Maintain current information on tenants, market availability, and leases.
    • Compile property data for clients including property surveys, summary reports, maps, and status updates for assignments.
    • Prepare and collect all deal-related documents and follow up with all parties on the execution as required.
    • Assist in the collecting of materials necessary for transactions such as listing agreements, commission agreements, leases, and sales agreements.
    • Update and maintain various information databases. Generate standard and ad hoc reports as required and assist with website updates (as needed).
    • Gather supporting documentation to complete voucher forms and process brokers' commission payments while abiding by company accounting policies as well as local and national laws.
  • Qualifications

    Qualifications

    • Bachelor's degree or some college preferred
    • Adobe Creative Cloud (InDesign, Illustrator) experience required
    • Proficiency with MS Office and MS Excel required
    • Experience with Mail Chimp, Adobe XD, and/or RICOH 360 a plus
    • Ability to work in a fast-paced and deadline-oriented environment
