This critical role ensures that patients receive timely, high-quality care while maintaining staff efficiency and satisfaction. Job Description:
The Master Scheduler will oversee the planning, coordination, and management of staff schedules to ensure optimal service delivery. This role requires a balance of logistical expertise, interpersonal communication, and the ability to handle dynamic and fast-paced situations. The Master Scheduler will collaborate with caregivers, nursing staff, patients, and administrative teams to meet the scheduling needs of patients while addressing staffing constraints.
Responsibilities:
Develop, manage, and adjust schedules for all home health care staff, ensuring compliance with patient care plans and service requirements.
Maintain communication with clients and caregivers to accommodate schedule changes, cancellations, and new service requests.
Collaborate with case managers and nursing supervisors to ensure appropriate staff assignments based on skill level, patient needs, and geographic location.
Monitor staff availability, PTO requests, and work hours to prevent scheduling conflicts and manage overtime effectively.
Handle urgent scheduling changes, including on-call assignments, with professionalism and efficiency.
Maintain accurate and updated records of schedules, patient care requirements, and staff availability using scheduling software.
Regularly review and analyze scheduling data to identify trends, optimize staffing, and improve operational efficiency.
Communicate with patients and their families to ensure satisfaction with scheduling and care delivery.
Serve as the primary contact for all scheduling-related inquiries, addressing issues promptly and professionally.
Work collaboratively with the HR team to onboard new staff and ensure adequate coverage during peak times or staff shortages.
Qualifications:
Required:
Bachelor’s degree in Healthcare Administration, Business, or related field, or equivalent professional experience.
Minimum of 3 years of experience in scheduling, preferably in a home health care or healthcare environment.
Proficiency in scheduling software and Microsoft Office Suite.
Excellent organizational, multitasking, and time-management skills.
Strong verbal and written communication abilities.
Problem-solving skills with the ability to handle high-pressure situations effectively.
Attention to detail and commitment to maintaining accurate records.
Preferred:
Experience with home health care regulations and compliance standards.
Familiarity with scheduling software such as Axxess, Wellsky, or similar platforms.
Strong interpersonal skills and the ability to build positive relationships with patients, families, and staff.
Understanding of labor laws and regulations related to overtime, breaks, and shift scheduling.
