    Job Description

    This position is contingent on contract award.

    International SOS is looking for an individual to provide administrative and clerical support to ensure efficient operations of healthcare services, including patient scheduling, records management, and communication with medical staff. They play a crucial role in facilitating smooth patient care and enhancing the overall effectiveness of the medical facility.

    Key Responsibilities:

    • Prepare examination rooms prior to patient's arrival.
    • Assist with patient check-ins, admissions, discharges, and transfers as directed.
    • Check patient's vital signs, to include temperature, respiration, pulse, weight, blood pressure, and pulse oximeter reading.
    • Obtain and document patient's current medical history, drug history, chief complaints, allergies and vital signs on the correct form.
    • Perform diagnostic procedures when ordered.
    • Maintain examination room stock levels and perform routine maintenance of examination rooms.
    • Complete lab and x-ray requisitions in accordance with clinic policies.
    • Enter demographic data into the computer upon patient check-in; enter diagnosis and departing time when patient is released.
    • Answer phone calls regarding clinic business and communicate issues to the appropriate provider.
    • Scan paperwork from completed paperwork and upload into the electronic medical record.
    • Answer phone calls for MEPS clinic, set up appointments, walk in patients, review medical requirements, prepare packets for clinic appointments.
    • Communicate with recruiter for associated military branch in order to resolve any administrative and/or paperwork issues.
    • Ensure packet is properly signed out and completed and responded to emails regarding additional questions. If it is a packet follow up, notify the appropriate provider per standard operating procedure.
    • Schedule all appointment and have all patients registered in MHS Genesis.
    • Submit lab tests ordered by the licensed provider into the appropriate medical system and inform recruiter via phone/email when the order is complete.
    • Assist the Government representative in the verification of information on the sign-in/sign-out log for accountability of records and assist in the verification to ensure all packets are signed and completed by the applicants and recruiter.
    • Create encounters for all applicants in the appropriate medical system. Document record according to clinic standard operating procedure. Create encounters for MEPS clinic appointments filling in scripted provider/clinical documentation as directed.
    • Verify and print labs using electronic medical record to verify required labs.
    • Verify prior-service applicants have all required paperwork, verify phase 1 was completed, scan all completed paperwork, and upload to same encounter in electronic medical record.
    • Identify all applicants who need additional services and inform recruiters of additional needs.
    • Assist the Government Representative in the verification that all packets are signed out or appropriate accounted for.
    • Conduct medical examination briefing instructions for applicants.
    • Document lab results in proper forms.
    • Complete vital signs (BP, HR, height, and weight) are measured in accordance with the applicable instruction. If not within each service standard, BMI calculation needed with taping that has to be done three times.
    • Complete intake for MEPS clinic appointments including but not limited to vital signs, medication reconciliation, armed forces eye exam, collection of all paperwork necessary for appointments.
    • Document all neurological, vision, refraction, vitals during medical exam.
    • Conduct vision tests to include color vision testing, distant and near vision, and depth perception.
    • Transcribe hearing results from audiogram.
    • Assist with Neurological examination.
    • During group exam assist with ongoing/scribe documentation while provider performs exam.
    • Prescription glasses auto refraction and documentation.
    • Perform Intraocular pressure (IOP) measurements as needed by direction.
    • Perform Electrocardiograms (ECG) as needed by direction.
    • Maintain a level of productivity comparable with that of other individuals performing similar services.
    • Participate in peer review and performance improvement activities.
    • Practice aseptic techniques as necessary. Comply with infection control guidelines to include the proper handling, storage, and disposal of infectious wastes, and the use of universal precautions to prevent the spread of infection.
    • Function with an awareness and application of safety procedures.
    • Perform efficiently in emergency patient situations following established protocols, remaining calm, informing appropriate persons, and documenting events.
    • Apply an awareness of legal issues in all aspects of patient care and strive to manage situations in a reduced risk manner.
    • Participate in the implementation of the Family Advocacy Program as directed. Participation shall include, but not be limited to, appropriate medical examination, documentation, and reporting.
    • Exercise awareness and sensitivity to patient/significant others' rights, as identified within the MTF.
    • Maintain an awareness of responsibility and accountability for own professional practice.
    • Participate in continuing education to meet own professional growth.
    • Attend and/or comply with all annual training classes required by the MTF.
    • Actively participate in the MTF’s Performance Improvement Program.
    • Participate in the provision of in-service training to clinic staff members.
    • Attend and participate in various meetings as directed.
    • Perform timely, accurate, and concise documentation of patient care.
    • Operate and manipulate automated systems such as ADS, MHS GENESIS, ScriptPro or Nexia, Q Flow, Pyxis, and Clinical Information System (CIS).
    • Be responsive to all email and voicemail communications.
    • Exercise appropriate clinical delegation of tasks and duties in the direction and coordination of health care team members, patient care, and clinic activities.
    • Maintain documentation of all treatment provided in accordance with clinic directives and prepare such records and reports as may be required. All records and reports must be legible. Abbreviations must be only those listed in local instructions.

  • Qualifications

    Qualifications

    Basic Requirements/Certifications:

    • Minimum of 1 year of full-time experience as a Medical Assistant within the last 3 years is required.
    • Current certification as a medical assistant by the American Association of Medical Assistants or Current registration by the American Medical Technologists or other formal program.
    • Ability to acquire and use basic computer skills with such programs as Microsoft Office, and general data entry functions to enter patient data, and extract patient information via the electronic health record.

    Education Required:

    • Graduate from a medical assistant training program accredited by Commission on Accreditation of Allied Health Education Programs (CAAHEP) or the Accrediting Bureau of Health Education Schools (ABHES) of the American Medical Technologists or a formal medical services training program of the United States Armed Forces is preferred.

    Physical Requirements:

    • Work is normally performed in a typical interior/office work environment.
    • Work involves sitting and standing for prolonged periods of time.
    • May require bending, stooping and lifting up to 15 lbs.

    Other Special Qualifications:

    • US Citizen.
    • Pass/possess required security clearances.
    • Required medical screening and/or documentation is required.

    Additional Information

    Pay range is based on several factors and may vary in addition to a full range of medical, financial, and/or other benefits. Final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographical market data.

    Compensation: Min: $50,000 Max: 55,000
