    Part-Time – Medical Office Admin (16-20 Hours/Week)

    We are a mobile geriatric medical practice serving patients across San Diego County. Our dedicated team of physicians and nurse practitioners provide compassionate, high-quality care directly in patients' homes. We are committed to delivering exceptional service and attention to detail as we care for our patients and their families in their homes. We do not see patients in the office. In this role, you will be working out of our administrative office located in La Jolla/UTC area - patients are not seen in the office.

    We are seeking a professional, task-oriented Medical Office Admin to join our office team. The ideal candidate will excel in customer service, organization, and communication, with the ability to thrive in a busy, fast-paced environment.

    Key Responsibilities:

    • Phone and Communication:
      1. Answer and route phone calls to the appropriate team member.
      2. Maintain office email, respond to inquiries, and ensure timely follow-up.
      3. Handle voicemails and office communication professionally.
      4. Communicates clearly and convincingly in all situations; listens attentively without interruption and seeks clarification when necessary; answers questions effectively; writes in a clear, informative, and professional manner.
    • Patient Registration and Scheduling:
      1. Register new patients: Add and update patient demographics.
      2. Gather insurance information, check eligibility, and manage patient contacts.
      3. Schedule patients with providers in a timely and efficient manner.
      4. Send and collect consent forms promptly.
    • Customer and Community Support:
      1. o Troubleshoot patient, community staff, family and etc. request and concerns in a patient, respectful, and professional manner.
      2. Provide support to providers and nurses as needed.
      3. Handles challenging or emotional patient situations with care; addresses patient needs in a timely manner; responds quickly to service requests and provides assistance as needed; consistently follows through on commitments
    • Productivity and Dependability:
      1. Completes tasks on time or notifies the appropriate person with an alternative plan.
      2. Strives to exceed productivity expectations by completing work promptly.
      3. Effectively prioritizes tasks to ensure timely completion.
    • Administrative Support:
      1. Fax medical records upon request.
      2. Run and update billing lists.
      3. Assist with ad hoc administrative tasks.
    • Technical Skills:
      1. Proficiency in Microsoft Office and basic computer operations is a must.
      2. Ability to learn and navigate medical record systems (experience with Epic is a plus but not required).
      3. Training will be provided to familiarize you with our medical record system and office workflows.

    • Ability to manage and prioritize tasks during busy hours while staying calm.

    • Professional demeanor and ability to maintain confidentiality.

    Requirements:

    • Intermediate computer skills (Microsoft suite, Adobe and etc)
    • Prior administrative or receptionist experience preferred but not required.
    • Familiarity with medical office operations is a plus but not required .
    • Schedule and Pay:
    • Part-time: 16-20 hours per week.
    • Pay: $21-$24 per hour, depending on experience and qualifications.
