    JOB TITLE: Scheduling Coordinator

    GENERAL SUMMARY OF DUTIES: The basic function of the Scheduling Coordinator is to assist the Clinical Services Manager in overseeing the daily operations in the Scheduling Department as well as perform off duties associated with Scheduling.

    SUPERVISION REFCEIVED: Reports directly to the Clinical Services Manager

    SUPERVISION EXERCISED: Daily supervision of scheduling staff, as well as training, mentoring and coaching

    TYPICAL PHYSICIAL DEMANDS: Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasional lifting of files or papers weighing up to 30 pounds. Requires manual dexterity sufficient to operate office equipment associated with job. Must hear well enough to answer and converse on phone. Must see to read forms, computer terminals, and printouts. Must be able to count, do basic arithmetic calculations. Must be able to read and write English at a high school level. Must be able to effectively communicate verbally and written.

    TYPICAL WORKING CONDITIONS: Work is performed in an office environment. Involves frequent telephone contact with patients, other physician’s offices and hospitals. Involves frequent contact with staff, patients and family members. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with ill people.

    EXAMPLES OF DUTIES: (This list may not include all of the duties assigned and includes all duties listed in the Scheduler job Description.)

    Coordinates work schedules for Scheduling Staff.

    Review and approve time sheets and approve time off request by schedulers.

    Supervise daily activity of the Scheduling Staff to ensure all incoming and outgoing calls are handled with the desired service level.

    Monitor fax request forms and ensures timely processing of request from referring physicians for patient appointments.

    Communicates relevant information to the Clinical Services Manager and staff, to maintain continuity of care.

    Assist with orientation of new personnel.

    Train and communicate new policies and procedures to Schedulers.

    Assist with preparation of the master schedule and transferring the information into NextGen.

    Makes schedule changes as needed after the schedule is open for use.

    Oversees the entire scheduling process and reports problems to the Clinical Services Manager.

    Attends meetings as required.

    Performs related work as required.

    KNOWLEDGE, SKILLS & ABILITIES: Knowledge of office procedures and policies. Knowledge of grammar and spelling to relay messages and input patient information. Ability to speak clearly, concisely and answer the telephone in a pleasant and helpful manner.

    EDUCATION: High School graduate or GED.

    EXPERIENCE:

    One year work experience in medical office setting; preferably scheduling.

    Knowledge of medical terminology desirable.

    Computer experience.
