    Job Description: Full-Time Office Supervisor Pay Rate: $41,600 per Year (Salaried)

We are currently seeking an experienced and motivated Office Supervisor to oversee the daily operations of our clinic and ensure that both patients and staff experience a seamless and supportive environment.

    💼 Key Responsibilities:

    Oversee and evaluate day-to-day clerical operations and office procedures

    Coordinate communication between our Parent and Branch Clinics

    Maintain office systems and establish procedures for record retention, protection, retrieval, and disposal

    Review accounts payable, personnel files, and clerical records for accuracy and completeness

    Train, orient, and supervise front office and clerical staff

    Prepare reports for management, summarize operational data

    Manage clinic databases and prepare internal correspondence

    Order and process medical supplies as needed

    Greet and check in patients, verify insurance information, and update medical records

    Schedule patient appointments and referrals

    Answer phone calls, assist with patient inquiries, and manage prescription refill requests

    🌟 Additional Responsibilities:

    Maintain confidentiality of patient records and business practices in accordance with HIPAA

    Stay current on changes in healthcare laws and regulations

    Participate in continuing education and staff in-service trainings

    Support compliance with all clinic policies, local, state, and federal healthcare standards

    Report incidents and complaints per company procedures

    Perform other duties as assigned or requested

    ✅ Skills & Qualifications:

    Required:

    High school diploma or GED

    1–2 years of experience in office operations or healthcare administration

    Valid driver’s license & proof of current auto liability insurance

    Strong interpersonal and verbal/written communication skills

    Excellent time management and organizational abilities

    Proficiency in Microsoft Office Suite, spreadsheets, communication tools, and billing systems

    Ability to supervise and lead a team while ensuring compliance with clinic policies and legal regulations

    Cooperative attitude with a problem-solving mindset

    Comfortable working with standard office equipment

    Preferred:

    Associate Degree in business, healthcare administration, or related field

    2+ years of experience in a medical clinic setting, including billing responsibilities

    Familiarity with electronic health record (EHR) systems such as Epic or Cerner

    ⚠️ Work Environment & Requirements:

    Category C BBP risk; moderate stress and emotional demands

    Occasional travel may be required
