    The Medical Receptionist plays a crucial role in the smooth and efficient operation of our medical facility. As the first point of contact for patients and visitors, you will provide exceptional customer service, ensure proper and accurate patient registration, and facilitate the overall administrative functions of the clinic. Your ability to prioritize multiple inquiries, schedule appointments, and maintain patient records will contribute to a positive patient experience and support our mission of providing excellent healthcare. This position requires a high degree of accuracy, attention to detail and a positive attitude.

    Responsibilities:

    Perform administrative tasks such as scheduling appointments, managing patient records, and handling insurance forms.

    Greet and assist patients and visitors in a courteous and professional manner.

    Register new patients, update existing patient information, input patients into computer system, ensure that patients are filling out forms completely and correctly before they are sent to rooms.

    Schedule patient appointments and follow-up visits accurately and efficiently.

    Review and identify appropriate charges on billing sheets.

    Answer phone calls, address inquiries, and relay messages to the appropriate medical staff.

    Check VM and respond to or distribute messages as necessary.

    Monitor email account and respond to emails same-day or within 24 hours at most.

    Maintain a clean and organized reception desk and waiting room area, ensuring a welcoming environment.

    Manage incoming packages and letters.

    Respond to all faxes for document requests within 24 hours. Ensure that the correct records are sent by conducting a detailed review of each request.

    Ensure patient confidentiality and handle sensitive information with the utmost discretion.

    Assist in managing medical records, including filing, scanning, and record retrieval. Create all patient charts/files.

    File all patient records from fax, email or mail into the appropriate Chart File.

    Upload DOTs Same Day.

    Keep a stock of patient forms/packets already highlighted in advance.

    Keep company list updated online, this includes email distribution list for email accounts.

    Collaborate with medical staff and other team members to facilitate patient care for all patient appointments (LNI, DOT, DRUG SCREEN AND OTHER).

    Adhere to office policies, procedures, and protocols.

    Assist with special projects or tasks as assigned by the office manager or supervisor.

    Go to offsite storage to pull files as assigned.

    AR and Invoicing may be assigned. Medical billing experience a PLUS!

    Qualifications:

    High school diploma or equivalent; associate's degree or medical office certification preferred.

    1-2 years of proven experience in a medical receptionist or similar role.

    Proficiency in Office 365 and basic computer skills.

    Strong communication and interpersonal skills.

    Excellent customer service skills with a friendly and compassionate demeanor.

    Ability to multitask, prioritize, and work in a fast-paced environment.

    Attention to detail and accuracy in maintaining patient records and appointments.

    Knowledge of medical terminology is a plus.

    Familiarity with insurance verification processes is a plus.

    Dependable and punctual with a professional appearance.

    Pay: $21.00 - $25.00 per hour
