    Job Purpose

    The Treatment Coordinator supports the Medical Treatment Manager to provide the day-to-day care for animals receiving specific medical care within the shelter. This individual posses’ excellent organizational skills and attention to detail as they spear head the daily medical care plans for animals in critical condition or those in need of in- house specialty care (e.g. insulin dependent animals, animals requiring special diet/hand feeding, sub-Q fluids, etc.). The Treatment Coordinator will maintain accurate medical files via Pet Point to ensure information regarding all special/critical care plans are documented and communicated appropriately.

    The Treatment Coordinator is responsible for coordinating the daily functions of our treatment department including, but not limited to:

    • Treatment Coordinators will run treatment and medication reports via Pet Point to determine the AM, Mid-Day, PM medications that will be administered to animals within the shelter for that day. They will distribute said medications appropriately to ensure medications are consumed by animals.
    • Responsible for feeding all animals that have been determined to need special diets and/or feeding schedules
    • Review, record and follow up regarding all medical concerns that are reported by kennel/cattery/volunteer staff via medical books multiple times throughout the work day to ensure concerns are addressed immediately and appropriately.
    • Responsible for all medical/foster/intake counsels to ensure all animals arriving/leaving the building on a treatment plan are communicated clearly to the adoption/foster/staff including any on-going treatment/medication that will need to be administered by the adoption/foster family/staff for the health of the animal
    • This individual is responsible for keeping the entire Treatment Room clean and organized. This includes but not limited to the basic and deep cleaning of the floors, countertops, and all other items in the area (e.g. refrigerator)
    • Maintain an accurate medication inventory list to provide to the Medical Treatment Manager on a weekly basis to ensure the correct medications and quantity are ordered in a timely manner.
    • The Treatment Coordinator is required to perform medical rounds of the entire building at a minimum of once (mid-day) a day to ensure all HSHC’s animals are receiving the medical attention needed and escalate any concerns in real time to ensure life saving care is being provided before accessible resources (e.g. veterinarian) leave the shelter and/or our participating general practice partners are closed for the day.     • Create and maintain individual medical treatment plans in collaboration with the Shelter DVM, Medical Treatment Manager and/or supporting DVM. If it is determined that a current treatment plan is not successful, an alternative treatment plan will be created. It is the sole responsibility of the Treatment Coordinator to track and record the successful/unsuccessful treatment plans and escalate any updates/concerns to the Shelter DVM and Medical Treatment Manager. This includes performing weekly audits of current treatment plans to ensure effectiveness, ineffectiveness is being addressed in a timely manner.
    • Treatment Coordinators will communicate all progress of plans or lack thereof to the treatment team including the Shelter DMV, Medical Treatment Manager, and Medical Intake Manager at the conclusion of each shift via email to ensure the treatment of critical cases are being administered accurately and in a team effort between shifts.
    • In collaboration with the Medical Treatment Manager, the Treatment Coordinator will ensure all controlled substances that are scripted to individual animal are maintained, secured and tracked in accordance to DEA regulations and HSHC protocols.
    • The Treatment Coordinator will be included in the rotation of our medical department’s holiday schedule as well as the scheduling for after-hours emergencies and/or overnight medication schedule, irrespective of their standard weekly schedule.
    • Basic computer literacy including the ability to learn and use the online Pet Point database to ensure medications and holds are entered properly.
    • This individual may be asked to support the Intake and Processing team and/or Surgical team as needed.
    • Train other staff members or new employees in the skills listed on this job description.
    • Performs additional duties as assigned.
