● Greeting patients professionally both in person and on the phone
● Answer phone calls, Practice Fusion messages, and in-person inquiries
● Communicate with patients to set up and schedule optimal appointment times
● Gather and track medical information from patients
● Scan and label correctly all forms provided by the patients and inform the correct department
● Inquire and process patients’ health insurance (scan form in the system and inform the correct department for verification
● Verify health insurance, phone number, email, and address from patients.
● Support office with administrative and secretarial task
● Keep your voice low when talking to patients and co-workers
● Answer the phone before the third ring, do not let the phone ring constantly
● Stay at your workstation, do not walk around, clean your area, and make sure it is clutter-free
● Understand and maintain HIPPA regulations
● Communicate with the internal office team and providers to ensure patients are helped and everyday tasks are accomplished
● Assisting patients with filling out our forms and answering their questions
● Scheduling appointments and follow-ups for patients
● Processing payments for patients
● Keep the waiting and reception areas clean and inviting
● Maintaining a working relationship with the rest of the office staff
● Post payments immediately to the correct patient
● Take your lunch on time unless there are many calls on hold
● Collect Copays and Outstanding balances
● Pay attention to the Pin on Practice Fusion
● Check Tebra for balances
● Minimize your time on the phone
● Keep your phone volume high
● Keep your cell phone on the drawer
● If you need to contact another department, send a message via practice fusion or call, do not walk around unless is an emergency
● Do not place patients on hold
● Make sure you sanitize your workstation, phone, keyboard, computer, desk
● Make sure to use the bathroom and eat your food during your lunchtime.
● If you need to use the bathroom, make sure 3 employees are at their desks and you need to inform your teammates.
● If you are making an appointment and the patient has zero balance and zero copay, check the patient In, do not leave the appointment pending.
● Keep the front window closed when no patients are present
● Make sure you make one appt per day, no M.D, Therapist, IOP, TMS on the same day, only one appt.
● Make sure ADHD form is sign and upload in the system prior of bringing the patient for testing.
