We are a dedicated mental health company providing virtual mental health therapy services. We’re currently seeking a full-time Administrative Assistant with a thinkers brain, a talent for organization and a skill in client relations to join our team. This position requires in-person availability in Whitefish, Montana, and full compliance with HIPAA regulations.
Job Description: The primary responsibilities of this position are answering patient phone calls, responding to missed calls and patient voicemails, emailing, scheduling, assisting the team with patient accounts, organizing and other administrative tasks.
We are looking to fill one full-time position.
The hours for this Position are:
9:00 AM - 6:00 PM Monday - Friday.
Requirements: Interest in Mental Health and Self Betterment, High School Diploma or GED. Proficiency with computers and general Microsoft Office applications and Google Drive. Strong memory retention, organizational, analytical, and communication skills, and a positive attitude are a must.
Preferred Experience: Although mental health knowledge experience is a plus, we support candidates with little or no mental health experience who have a solid work history and are gifted at learning and retaining new concepts and workflow strategies quickly. Strong Communication and organizational skills are required for this role.
Position Overview:
As the Administrative Assistant, you’ll be a key point of contact for the owners of the company, a vital part of our operations team, and client relations. Your primary responsibilities will include:
Working closely with the owners of the company in helping them organize intellectual property that they are creating, utilizing AI, and helping with research
Project Support: Assisting in various administrative components of projects, including research, compiling reports, and tracking progress to support team efforts.
Clerical Support: Handling tasks like filing, typing, photocopying, and scanning documents, which helps maintain and organize the office's paper and electronic files
Communication: Managing incoming and outgoing correspondence, including emails, phone calls, faxes, and letters, ensuring that communication runs smoothly within and outside the organization.
Scheduling: Coordinating and organizing appointments, meetings, and events, which may include booking meeting rooms, arranging travel plans, and managing calendars for one or more executives.
Data Entry: Inputting and maintaining data in databases and systems, ensuring that information is accurate and up to date.
Record Keeping: Maintaining accurate records and files, often involving confidential or sensitive information, which requires a high level of discretion.
Schedule:
Monday–Friday 9:00 AM – 6:00 PM (Full-Time)
Requirements:
High School Diploma or GED
Must reside in Montana and be able to work in person in Whitefish
Proficiency with computers, Microsoft Office, and Google Drive
Excellent memory retention, attention to detail, and communication skills
A professional, positive, and team-oriented attitude
Preferred Qualifications:
Experience in medical or mental health administration is a plus, but not required. We value candidates who have a strong work history, a fast learning curve, the ability to adapt to new processes and systems, and compassion for people. Excellent communication and organizational skills are essential.
