    Accentus Health TMS is looking for talented medical office manager to join our team! We are veteran owned and operated mental health office. We specialize in treatment resistant depression therapy including; Spravato (esketamine) and Transcranial Magnetic Stimulation (TMS). We also offer many types of psychotherapy and medication management for our patients. We are a highly respected and reputable organization and have built a successful business by providing top-quality mental health services.

    We are looking for high energy, friendly, detail-oriented people who can work well in a fast-paced team environment to join our growing office.

    Job Duties and Roles:

    Make or assist in making appointments

    Answer phones and returning voicemails in a timely manner

    Checking patients in or out of their appointments

    Prepare patients for their appointments

    Perform and assist with TMS treatments and mappings with accuracy

    Discuss benefits and side effect of treatment options

    Assist with starting and monitoring vitals and treatment of Spravato

    Take patient's vitals

    Verify patient's insurance information

    Verify address, phone numbers, and other demographics

    Obtain or update patient's contact information

    Collecting copays and co-ins

    Assist in obtain prior authorizations for treatments and running eligibility and benefits

    Assist in daily office administration and overseeing Patient Advocates and their schedules.

    Ensuring that referrals are addressed and handled appropriately and in a timely manner

    Provide training to incoming Patient Advocates

    Assist in providing feedback for annual reviews

    Provides patient education at physician request.

    Follows best-practice protocols, upholds company policies.

    Notifies department leadership of safety concerns.

    Adheres to all OSHA and HIPAA standards.

    Participates in clinic staff meetings

    Oversees daily patient load for assigned physician(s) or clinic.

    Ensures documentation accuracy and reviews Health History, including; vitals, medications, allergies, immunizations, pharmacy, referring physicians, primary care physicians, etc.

    Assist with obtaining prior medical records

    Assist with other duties as assigned by upper management

    Qualifications:

    Ability to work well in a team environment.

    High attention to detail.

    Experience with EMR systems.

    Prior medical experience is preferred.

    Ability to multi-task in a fast-paced environment.

    Ability to work well under pressure.

    Ability to work well with others in a fast-paced environment.

    Ability to interact with patients, staff, physicians, and leadership in a professional, effective, and supportive manner.
