    About Us

    We are a small-sized law firm looking to modernize our communications intake and processing. Our goal is to centralize and automate all incoming communications—including physical mail, emails, SMS, and voicemails—while ensuring data security and compliance with legal requirements. We plan to leverage Microsoft 365 tools such as SharePoint, Power Automate, AI Builder, and related services.

    Project Scope

    Central Repository: Implement a single source of truth for all communications using SharePoint (Lists/Libraries) or Dataverse.

    Classification & Extraction: Train and deploy AI models (e.g., SharePoint Syntex or AI Builder) to automatically classify scanned documents and emails.

    Workflow Automation: Set up Power Automate flows for routing, approvals, deadline tracking, and notifications in Microsoft Teams or Planner.

    Reporting & Insights: Provide clear visibility of communications through dashboards in Power BI or SharePoint Views.

    Key Responsibilities

    Requirements Gathering

    Engage with our attorneys and staff to understand current processes, key data fields, and compliance considerations.

    Develop clear success criteria for automation and classification features (deadlines, client matter references, urgency, etc.).

    Solution Design & Implementation

    Propose a SharePoint-based structure (Lists, Libraries) or Dataverse setup aligned with our firm’s size and legal workflows.

    Configure Power Automate to handle email parsing, document uploads, and AI classification.

    AI Model Training

    Train SharePoint Syntex or AI Builder with sample legal documents to recognize specific case details, practice areas, or deadlines.

    Plan for continuous learning and improvement of the model’s accuracy.

    Integration & Security

    Integrate with Microsoft Teams and Planner for task management and notifications.

    Ensure compliance with data protection standards, including client confidentiality and any relevant regulatory requirements.

    Testing & Optimization

    Conduct end-to-end testing with real-life legal documents and communications.

    Fine-tune workflows and AI classification to accommodate legal-specific terminology or formats.

    Documentation & Training

    Create user-friendly guides for attorneys and support staff.

    Provide knowledge transfer so internal resources can maintain or update workflows as needed.

    Qualifications

    Microsoft 365 Expertise

    Hands-on experience with SharePoint Online (Lists, Libraries, Syntex)

    Proficiency in building Power Automate flows

    Familiarity with AI Builder for document classification

    Basic or advanced Power BI skills for reporting (preferred)

    Law Firm or Regulated Environment Experience (Preferred)

    Understanding of confidentiality, compliance, and secure data handling

    Ability to design workflows that meet or exceed legal/regulatory requirements

    Strong Communication & Collaboration

    Ability to translate legal requirements into Microsoft 365 solutions

    Excellent communication with both technical and non-technical team members

    Project Management

    Capable of delivering projects on schedule and within budget

    Effective at coordinating milestones and keeping stakeholders informed
