    Job Description

     

    The Million Dollar Round Table is seeking a PROGRAM DEVELOPMENT MANAGER to provide oversight to the management and administration of all education programs and products. This position works closely with volunteers and staff to support the MDRT’s mission and strategic objectives. Must be adept at being both a team leader and supportive mentor, is able to effectively manage multiple projects simultaneously, and take action to solve immediate needs while thinking forward to long-term solutions. The Program Development Manager must also have outstanding communication skills, a focus on providing exceptional customer service and a collaborative, positive attitude.

    JOB SUMMARY

    · Serve as overall Program team lead for the Annual Meeting or Global Conference and staff liaison to the Annual Meeting or Global Conference Divisional Vice President.

    · Manage all aspects of assigned MDRT meetings’ program development and implementation.

    · Serve as staff liaison to a program development committee (as assigned).

    · Serve as project manager on special projects as assigned (including sponsorship program deliverables and internal process improvement initiatives).

    · Supervise the performance management of five staff direct reports.

    · Maintain knowledge of current and future trends in association programming and management.

    RESPONSIBILITIES

    PROGRAM TEAM LEAD AND STAFF LIAISON TO THE PDD DIVISIONAL VICE PRESIDENT

    1. Primary staff liaison to Program Development Division (PDD) Divisional Vice President (DVP), and other MDRT departments.

    2. Assist PDD Steering Committee and staff liaisons with planning and implementation of Program Development Committee (PDC) meetings and activities.

    3. Manage the implementation of MDRT speaker recommendation and selection procedures and activities.

    4. Monitor all phases of program development and PDD operations to ensure deadlines are met and appropriate logistic requests are communicated to appropriate MDRT staff and committee members.

    5. Support Professional Development Director and ExCom Liaison during the PDC member selection process.

    MEETING PROGRAM DEVELOPMENT AND IMPLEMENTATION

    1. Lead the identification, selection and contracting of speakers for assigned meetings and serve as a liaison between internal committees and staff departments.

    2. Manage all materials for conference calls and in-person meetings.

    3. Manage implementation of speaker selection and program planning procedures and activities.

    4. Coordinate the compilation of speaker review results for all assigned meetings and manages the speaker tracking system. Provide input on speaker schedule to the program draft for each meeting.

    5. Provide speaker and session information for all assigned meetings’ collateral such as program draft, registration, program book, promotional material, website and mobile event app.

    6. Develop and lead process for speaker management, including obtaining speaker agreements, managing presentation and handout deadlines, ensuring content is submitted accurately and is up to the standard of the MDRT brand, AV requirements, oversight of honoraria and travel expense reimbursement, and other support activities.

    7. Work with Program Production Coordinator on preparation of AV and support materials including compliance review, editing, and revisions for all assigned meetings.

    8. Oversee and monitor preparation and submission of speaker scripts and presentation support materials.

    9. Preparation of program related spec sheets for all assigned meetings.

    10. Analyze post-event evaluation surveys to improve future programs and member experience.

    STAFF LIAISON CONNEXION ZONE PROGRAM DEVELOPMENT COMMITTEE

    1. Lead ConneXion Zone Program Development PDC (as assigned) and serves as a liaison between internal committees and staff departments.

    2. Monitor all phases of program development to ensure deadlines are met and appropriate logistic requests are communicated to appropriate MDRT staff and committee members.

    3. Assist Chair with the drafting of agendas for all committee meeting and conference calls.

    4. Assist Chair in completing required reports, review for accuracy and include details when appropriate.

    5. Coordinate speaker selection process, including master speaker tracking, preparation and distribution of speaker correspondence, speaker material submission.

    6. Coordinate collection of speaker related materials, e.g. photos, biographies, visual aids (if applicable).

    7. Preparation, negotiation (if applicable), and execution of speaker contracts.

    8. Preparation of wire transfer/ACH requests and tracking of payments to speakers (if applicable).

    9. Prepare session copy for registration brochures, app, and registration and meeting websites.

    10. Provide session information and updates for the internal event program draft and session specifications.

    11. Work with Production Coordinator on preparation of session AV and support materials (if applicable) including compliance review, editing, and revisions.

    12. Consult with the Meeting Services staff regarding session logistics and speaker zones in ConneXion Zone.

    13. Coordinate all session material to be translated; includes completing the translation request forms.

    14. Maintain and update areas of the association website as needed.

    15. Point person for onsite speaker logistics.

    16. Onsite training and supervision of contracted temporary staff at sessions in ConneXion Zone.

    17. Submit ConneXion Zone session descriptions to Content Development staff for post-event publication.

    18. Assist Professional Development Director in the PDC member selection process.

    LEAD PROJECT MANAGER OF SPECIAL PROJECTS (IE SPONSORSHIP PROGRAMS, INTERNAL PROCESS IMPROVEMENTS)

    1. Lead the program development for special sessions as included in MDRT sponsorship deliverables to member companies such as pre/post Annual Meeting Half Day programs, in-country workshops, and co-branded sponsor meeting.

    o Curate a list of potential speakers, create the agenda, contract and coordinate with speakers to collect assets and develop the script and show flow. Collaborate with Global Markets staff to execute the programs.

    1. Lead the sourcing, set up, testing and implementation of technology solutions and/or process improvements to drive efficiency within the Professional Development Department.

    PERFORMANCE MANAGEMENT OF DIRECT REPORTS

    1. Supervise four staff members: two program planners, one program coordinator and one program assistant.

    2. Provide assigned direct reports with direction, guidance, coaching and training regarding the program area, their responsibilities and MDRT.

    3. Complete the annual Performance Management process with each direct report: goal setting, mid-year review and year-end review discussions.

    4. Hold regular one on one meetings throughout the year to track progress of goals, any changes in roles and responsibilities and address any behavioral and/or performance issues. Maintain documentation of one on one meetings.

    5. Monitor workload of program staff and adjust as necessary.

    6. Encourage personal and professional development of all program staff.

    7. Cultivate a strong team awareness within the department with an emphasis on open and frequent communication.

    MAINTAIN KNOWLEDGE OF CURRENT AND FUTURE TRENDS IN ASSOCIATION PROGRAMMING AND MANAGEMENT

    1. Research current and future trends in programming topics, formats, etc.

    2. Participate in professional development activities.

    3. Participate in association professional organizations.

    4. Explore opportunities and methods for introducing new concepts to volunteer committee members and MDRT staff.

     

    OTHER DUTIES AS ASSIGNED BY DIRECTOR

    KNOWLEDGE, SKILLS AND ABILITIES

     

    EXPERIENCE:

    · Minimum of 7 years of experience with adult learning, program development, continuing professional education, and program planning/management role preferably in nonprofit association.

    · Proven experience exhibiting the maturity and confidence to work with individuals around the globe.

    · Experience managing multiple staff required.
