    Mirror Mental Health – Office Coordinator

    The role of the Office Coordinator will perform general administrative tasks, create and enforce processes that drive efficiency, guide and motivate clinical and administrative staff, and coordinate communication between departments.

    A successful candidate will consistently maintain the following areas of competence:

    · Proficiency in the use of electronic medical record databases, Microsoft Office (especially Word and Excel), email, and Internet

    · Excellent time management skills, organizational skills, and experience managing multiple projects/tasks concurrently

    · Proven experience in managing an office environment

    · Proven ability to meet deadlines and perform in a fast-paced environment

    · Excellent communications and customer service skills with staff, a variety of clientele, other community agencies, and programs

    · Strong ability to prevent and resolve problems

    · Able to independently manage self and others; while obtaining support from leadership when needed

    · Effectively communicate with leadership teams to ensure overall efficiency of company operations and all stakeholder’s satisfaction

    Additional duties include, but are not limited to:

    · Promptly answer phone calls, voicemails, company email, receive in-person guests, and coordinate all incoming and outgoing mail services (USPS, FedEx, UPS, etc.)

    · Monitor, order, and organize office and building supplies for all staff

    · Ensure the office space maintains a welcoming and clean environment.

    · Assist leaderships with operational and marketing-related activities, as required

    · Collaborate with the Billing Specialist to assist with various insurance and billing related tasks

    · Organize and execute client requests for various personal health records, billing summaries and/or payment, referral information, etc.

    · Troubleshoot & problem solve issues in an efficient and professional manner

    · Attend company meetings when requested or required

    The ideal candidate will have:

    · A minimum of 5 years of experience in an administrative support role, preferably in healthcare field.

    · A Bachelor’s Degree preferred, but not required

    · The ability to work in person, in a clinical setting

    Job Types: Part time with potential for Full Time

    Schedule:

    130pm-730pm Monday-Friday

    Flexibility required
