    Job S ummary:

    The Move-In Coordinator is responsible for the coordination of move-ins and all related activities. This includes administrative and sales support, customer relations, and logistics management to ensure a seamless transition for new residents. The role requires coordination with various departments to maintain a high standard of service.

    Essential job functions:

    • Coordinate move-in logistics, including paperwork, space planning, relocation assistance, and maintenance coordination in all areas of living.
    • Work closely with maintenance and housekeeping to ensure apartments are ready for move-in.
    • Schedule and conduct appointments with depositors to view apartments and complete necessary move-in documentation.
    • Serve as an intermediary for health care qualification processes, including coordination of physician orders and internal logistics such as transportation, movers, deposits, and Power of Attorney (POA) documentation.
    • Manage villa inventory lists, pricing, and market research for competitive analysis.
    • Assist residents with furniture placement and downsizing challenges.
    • Conduct initial and monthly new resident orientations.
    • Assist in planning and executing marketing events.
    • Coordinate print media collateral and maintain marketing supplies.
    • Perform various administrative and clerical support duties for the Sales & Outreach Director.
    • Troubleshoot and resolve minor complaints or concerns related to the move-in process.
    • Compile and maintain a vendor guide with pricing to assist residents in their move-in process.
    • Participate in weekly sales and planning meetings.
    • Perform other duties as assigned.

    Education & Experience

    • High school diploma or equivalent; a Bachelor’s degree in business or a related field is preferred.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
    • Experience in sales, marketing, or administrative roles preferred.
    • Strong background in communications, organization, data entry, and customer service.
    • Knowledge of sales marketing tracking tools.
    • Excellent interpersonal and communication skills for interacting with residents, guests, and Casey’s Pond team members.

    Management/Decision Making

    Uses independent judgment to make decisions based on precedents and established guidelines. Solves problems using standard procedures and precedents. Knows when to refer issues to Director and when to handle them personally.

    Compensation:

    $21.00 - $24.00 per hour dependent upon applicable experience
