Virtual Office Manager for Mental Health Group Practice
Job Description
The candidate will be a virtual/remote administrative office manager for a psychology group private practice of 15 clinicians. Duties include answering phone calls, screening patients, responding to phone and email inquiries, medical insurance billing, support to clinicians, patient file management and chart audits. Also, you will have to coordinate different projects on a regular basis. On the job training will be offered. Part-time position (10-20 hours a week) for the first 2-3 months. Then, must be available for full-time position (40 hours a week) with flexibility regarding working hours.
Administrative:
• Answering phone, email, ZocDoc, social media and other types of inquiries regarding services; • Explaining services and fees to potential clients; • Booking first appointments according to clinicians’ schedules using EHR (Simple Practice); • Sending required emails/notifications for appointments, intake forms and other pre-service documents, i.e., IDs and insurance cards, and secure payment link; • Follow up on new clients the day before the first appointment for intake forms and other pre-service documents, i.e., IDs and insurance cards, and how to connect to telehealth session; • Attend monthly virtual staff meetings (set up agenda, write minutes, follow up with what was discussed); • Reviewing all daily client ledgers for accuracy; • Establish long-term processes that can be taught to others (e.g., automation).
Insurance/Billing: • Verification of eligibility and benefits of new clients; • Verification of invoice accuracy before claim submission; • Weekly electronic submission of insurance claims; • Reconciliation of insurance claims; • Contacting insurance for claim denials and inconsistencies; • Quarterly verification of clients’ insurance information; • Sending invoices to third party payers.
Quality Assurance: • Monthly file review for accuracy; o Demographics; o Insurance information; o IDs and insurance cards; o Payment agreements.
• Monthly file review for deficiencies o Clinical documentation (progress notes completion, deadlines, signatures, treatment plans); o Presence of required documents (e.g., treatment plans, discharge summaries); o Ensuring that clients are discharged within 30 days of last session/contact; o Contact logs; o Funding authorizations.
Clinician management: • Monthly statement of services;
• Notification and follow-up of clinicians regarding deficiencies; • Any requests from clinicians, outside providers and other entities.
