The NATIONAL ASSOCIATION OF MUTUAL INSURANCE COMPANIES (NAMIC) has an opening for a Registration & Event Coordinator in the Indianapolis, IN office. This position provides administrative and registration support functions for the Education, Events, & Association Services Department that plans events, seminars, virtual educational programs, and related events.
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
- Serves as primary registrar. This will require learning/mastering all components of the event management system and related database functions.
- Ensures registration and event detail accuracy by performing daily data cross-checks and affiliating with the NAMIC database.
- Assists the Director of Event Logistics, Housing, & Technology in the development and ongoing maintenance of registration and housing tracking spreadsheets and historical records.
- Works with Director of Event Logistics, Housing, & Technology to identify new opportunities to utilize event management system to improve operational efficiency and attendee experience.
- Supports the Education & Events team with event planning details including badge printing, ribbon list assignment/checking, attendee list formatting, on-site registration support, speaker housing coordination, staff travel and housing, material assembly, and prep for seminar activities as assigned.
- Conducts regular housing audits of guest room block at event hotel and reaches out to registrants without rooms and unregistered individuals in a room block.
- Produces registration related reports as needed including formatting attendee lists, demographics reports, and committee and board reports.
- Researches and proposes event-specific needs for items like event activities, vendors, décor, entertainment, and other event options within proposed budget upon request.
- Supports event team in coordination of virtual event planning details for activities as assigned.
- Maintains business records and history for seminars, virtual events, and special projects.
- Assists event planners with developing and updating event project timelines within the event management system.
- Edits and reviews event registration details and coordinates registration packet assembly for events with direction from the Director of Event Logistics, Housing, & Technology.
- Coordinates event registration desk operations on-site at events including greeting attendees, answering event questions, processing on-site registrations, and managing limited capacity event counts.
- Provides customer service support including using positive telephone skills, responding promptly to e-mails and phone calls, etc., from customers/members inquiring about virtual education and events.
- Supports all aspects of events & education office operations, including following office procedures, organizing, and using filing systems, maintaining department work areas, and related duties.
- Assists with webinars as needed.
- Provides vacation and out of office coverage for the events team.
QUALIFICATIONS INCLUDE:
- Demonstrated computer proficiency (Microsoft Office, Excel, Adobe, database management).
- Experience in the event planning function and/or the hospitality field is preferred. Registration coordination is a plus.
- Bachelor’s degree or equivalent experience in hospitality, event management, or related business.
- Must be available for overnight travel by car and air approximately four times per year for approximately four days at a time, including the occasional weekend night. This may include independent travel that requires driving and navigating within city, highway, and rural settings.
- Ability to successfully pass a criminal background check and possess a valid driver’s license and an acceptable MVR.
