    Job Description

    Role Summary:

    The Internship Experience Coordinator is the backbone of the NBCUniversal Internship Program team. Serving as the main point of contact for incoming & current Interns, the Internship Experience team takes ownership of the onboarding process, executes Intern events & developmental programming, handles internal communications to key stakeholders, and ensures an excellent onboarding and Intern experience. This position provides a holistic support system to over 1500 interns, annually, and reports into the Director, Internship Program Experience.

    In addition to the responsibilities of the day-to-day role, this role will be a part of the onboarding & offboarding operations pillar for the program, as detailed below, providing an opportunity to become a subject matter expert in onboarding & offboarding operations.

    As needed, the Internship Experience team will participate in project work to support efforts in enhancing the program brand, experience, and developmental efforts. This Coordinator role will also have the opportunity to partner with our Communications, Events & Programming, and Social Media team members to gain more exposure in areas of interest.

    Responsibilities:

    Onboarding & Offboarding Operations:

    • From time of verbal offer, partner with Early Careers Recruiters to create and deliver formal offer letters to incoming Interns
    • Track new hire paperwork and background checks, and follow up with new hires as needed
    • Create and confirm new hire details within our mass upload templates for hire into SAP
    • Confirm work authorization for incoming hires, process I9's, and research any issues with the HR Operations team as they arise
    • Partner with the Payroll team to confirm Interns are loaded into the time keeping system and assign direct approvers
    • Work directly with our Technology team to deploy and retrieve intern laptops as each cycle begins and ends
    • Along with the Onboarding & Offboarding Operations team members, maintain the program Global Hired List and evaluate needed changes as each hiring season begins
    • Throughout the program, maintain intern position changes (e.g., manager changes, pay details, work location) to ensure we keep an accurate system of record
    • Upon program completion, process system terminations and confirm final pay details
    • Support the intern and manager population through our general mailbox
    • Partner with other Internship Experience team members on special projects and overall intern experience
  • Qualifications

    Qualifications

    Basic Requirements:

    • Bachelor's degree or equivalent work experience
    • At least 2-3 years of relevant work experience, including but not limited to talent acquisition coordinator, human resources coordinator, HR operations, recruiting, or administrative assistant
    • Experience using Microsoft Excel and SharePoint regularly and at an intermediate level
    • Ability to manage high volume data with meticulous attention to detail
    • Strong Interest in: HR or TA operations, talent acquisition, talent development, organizational development, early career programming or human resources, and an overarching desire to help people in an impactful way

    Desired Characteristics:

    • Experience with SmartRecruiters
    • Experience with SAP
    • Previous experience as a Campus Coordinator or Talent Acquisition Coordinator
    • Familiarity with onboarding processes for high volume internship, rotation, or entry-level programs
