SUMMARY:
The Executive Assistant will be responsible for providing high touch support to the President with calendar management, travel, presentations, expense reports and meeting management. In addition this individual will support and represent the President to our internal teams and external partners. This role will also focus on assisting our Executive Leadership team to drive solutions to issues that arise, provide overall support and oversee projects as needed.
EMPLOYEE DUTIES AND RESPONSIBILITIES:
- Provide comprehensive administrative support to the President, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Conduct research on various topics, including industry trends, market analysis, and business insights that can inform decision-making. Prepare concise reports and summaries.
- Partner with key personnel within and outside the company to coordinate the President's activities in and across the company. This includes but not limited to facilitating communication between the President and the executive leadership team to advance and accomplish the goals.
- Coordinate all details, logistics and supporting documents related to domestic and international travel (i.e., visas, itineraries, etc.) for the President.
- Assist in managing the day-to-day operations of the President by directing individuals to the appropriate resources and addressing all problems promptly and professionally.
- Juggle multiple priorities with minimal guidance or direction and provide strategic as well as administrative support to the President.
- Compose responses to routine inquiries, coordinating with managers when appropriate. Transcribe, and type confidential correspondence, memos, minutes of meetings and other materials or documents as needed.
- Handle confidential materials discreetly with a high sense of professionalism.
- Perform general and intermediate administrative tasks, word processing, data entry, filing, faxing, scanning and telephone services, as needed.
- Attend Company sponsored meetings, events or trainings, as requested
- Be available outside of regular business hours to respond to queries, as needed.
- Perform other duties as assigned.
- Assist in the management of special projects and initiatives by tracking progress, coordinating resources, and ensuring deadlines are met.
- Assist with expense tracking, budget management, and financial reporting, ensuring accuracy and compliance.
MINIMUM QUALIFICATIONS:
- Bi-lingual English-Mandarin is preferred
- At least 1 year of related administrative assistant experience or proven experience as an executive assistant or in a similar administrative role, preferably supporting C-level executives.
- Exceptional organization and time management skills, with an ability to handle multiple tasks and deadlines.
- Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
- Persuasive writing skills and the ability to draft and edit professional communications effectively.
- High level of discretion, confidentiality, professionalism and business ethics.
- High level of technical proficiency in productivity and office software, including Microsoft Office and calendar management tools.
- Project management skills and the ability to handle complex tasks independently.
- Proven ability to manage complex projects efficiently and effectively
- Ability to independently draft memos, letters, and general correspondence for senior-level management
- Strong event planning and management skills
- Ability to work under general direction on multiple tasks with demanding and competing timelines
- Time Management Uses time effectively and efficiently, specifically related to meeting customer requirements and timelines with maximum efficiency
EDUCATION:
- Bachelor's degree in Business, Marketing, Communication, English, Public Relations or a related field
