POSITION SUMMARY: We have an exciting opportunity to join our team as a Residency/Fellowship Program Coordinator. The Residency Program Coordinator is responsible for the day-to-day administrative functions of the ACGME accredited Anesthesiology Residency training program. The position requires a comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment. The Residency Program Coordinator will continually assess and direct a wide range of programmatic issues including long range planning, recruiting trainees, developing projects, maintaining databases, communicating with faculty and trainees and managing internal and external program relations.
JOB RESPONSIBILITIES:
Provides administrative support to the Program Director, and Supervisor and meets regularly regarding residency issues, activities and status of projects. Identifies and evaluates methods for improving workflow and makes recommendations for improvement.
Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance.
Provides administrative support to residents and interns.
Acts as a liaison between residents and hospital administration.
Establishes relationships and acts as a liaison to other Hospitals, internal departments, and divisions regarding resident recruitment, orientation, annual program Affiliation Agreements, and external rotations
Informs residents of inter and intradepartmental policy and procedure changes, with assistance from GME office,
Tracks, reports, and ensures compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and advancement of trainees.
Proctors in-training exams.
Develops, implements, and oversees the maintenance of filing, record keeping, distribution of materials, and other types of office/program systems. Maintains databases of resident and faculty data, including in New Innovations.
Manages evaluation forms distribution and retrieval for residents, program, faculty, and rotations in New Innovations.
Assists in planning departmental annual events including recruitment, orientation, as well as various meetings and program-related events.
Assists in preparation of ACGME Self Study, Site Visits and internal/special reviews.
Assists in monitoring residents duty hours.
Receives inquiries from residents and applicants and triage as necessary.
Maintains and updates Residency Program Manual.
Performs other duties as assigned by the Program Director, Administrator, and Supervisor.
Other administrative duties necessary for the efficient operations of the residency program.
Provides back up coverage for Senior Residency Program Coordinator.
MINIMUM QUALIFICATIONS: To qualify you must have a BA Degree, plus 2-3 years of responsible office administration experience, or equivalent combination of education and experience; excellent communication, interpersonal, computer and organizational skills.
Qualified candidates must be able to effectively communicate with all levels of the organization.
