    Position Summary:
    We have an exciting opportunity to join our team as a Program Coordinator.

    In this role, the successful candidate The Program Coordinator will support daily operations and ensures the successful implementation of clinical group programming. Responsibilities include coordinating group program activities, managing operations, processing intakes, analyzing data, reporting, and planning program milestones. The Clinical Program Coordinator will also embody NYU Langone Health's Service Strategy Framework Model (C.A.R.E.S.), ensuring all interactions reflect our commitment to high-quality, patient-centered care. Reporting to the FGP Intake Supervisor and working closely with the Director, FGP Ambulatory, the Program Coordinator will collaborate with our clinical team to facilitate existing support groups and develop new ones. The ideal candidate will hold a New York State LMSW license, excel in communication, and have a strong background in healthcare patient experience and data analysis.

    Job Responsibilities:

    * Group Services Programming:  
    

    • Serve as the main contact for the Child Study Center’s group programming initiatives.
    • Collaborate with clinical leadership to develop and enhance clinical programs, identifying resources needed for optimization and expansion.
    • Assist in the development of programs and policies based on analysis of data and identification of needs.
    • Coordinate regular meetings with department leadership and internal stakeholders to develop, monitor, and revise program that aligns with center’s needs and strategy. Attend administrative and clinical service line meetings as needed.
    • Monitor and evaluate program success through data collection, analysis, and reporting.
    • Assist in the development of programs and policies based on analysis of data and identification of needs.
    • Prepare and present reports on program outcomes, participant feedback, and key metrics.
    • Manage and distribute group-related materials. Maintain and update OneNote manual procedures and protocols. Develop a centralized resource hub for group therapy facilitators.
    • Collaborate with the DCAP Marketing team to manage group flyer distribution and promotion.
    Clinical Operational Support:
    • Assist with patient care inquiries, scheduling, and managing appointments. Correspond with families, patients, and providers to support therapy groups.
    • Conduct initial clinical screenings to ensure appropriate patient placement in programs.
    • Gather and scan patient demographic data and materials.
    • Stay updated on CSC clinical services to appropriately guide families and make referrals.
    • Collaborate with FGP Secretary/Schedulers to streamline patient intake workflows.
    • Facilitate room reservations for groups, optimizing space allocation with the DCAP Clinical Operations Team and Senior Administration.

    • Manage scheduling and space availability for programs with administrative and clinical staff.
    Patient Experience and Access
    • Drives consistency in every patient and colleague encounter by embodying the core principles of our FGP Service Strategy CARES (Connect, Align, Respond, Ensure, and Sign-Off)
    • Works collaboratively with colleagues and site management to ensure a positive experience and timely resolution for all patient interactions and inquiries whether in person, by phone or via electronic messaging.
    • Proactively anticipates patient needs, and participates in service recovery by applying the LEARN model (Listen, Empathize, Apologize, Resolve, Notify), and escalates to leadership as appropriate.
    • Shares ideas or any observed areas of opportunity to improve patient experience and patient access with appropriate leadership. (i.e. ways to optimize provider schedules, how to minimize delays, increase employee engagement, etc.)
    • Partners with Patient Access Center and Central Billing Office team members to support collaboration and promote a positive patient experience.
    • Takes a proactive approach in ensuring that practice staff are fully versed in the Access Agreement gold standard principles.

    Minimum Qualifications:
    To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

    Licensure: LMSW license in New York required.
    • Minimum of two years of experience in a similar role, preferably in a healthcare or mental health setting.
    • Proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint, Outlook) and Internet applications.
    • Strong organizational, analytical, and problem-solving skills.
    • Effective oral, written, communication, and interpersonal skills.
    • Ability to interface effectively with all levels of management and communicate effectively with internal and external customers.
    • Ability to work within a team environment and independently.

    Preferred Qualifications:
    Preferred Qualifications:Intermediate knowledge of computer-based scheduling and appointment programs strongly preferred.

    NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $65,000.00 - $70,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
