    POSITION SUMMARY: We have an exciting opportunity to join our team as a Office Coordinator. In this role, the successful candidate Responsible for assisting Administrative Supervisor with day-to-day supervision of support staff and daily workflow. Assists Administrative Supervisor with policy and procedure implementation (HR and departmental). Assists with continuing management of administrative logs, statistical reports and standards as per Hospital compliance in accordance with Federal and State Regulation.

    JOB RESPONSIBILITIES:

    • Maintains record of time out procedures and reports findings to Supervisor and Medical Director
    • Prepares Statistics and/or Epic reports for management
    • Maintains Quality Improvement standard logs and reports as needed. Assists in implementation of new Quality Improvement projects and provides support in management of related items
    • Assists with HR and Departmental policy and procedure development and implementation
    • Assist with the development of new employee and resident orientations; including, but not limited to agenda and coordination of attendance
    • Act as a back-up to front desk staff during unscheduled absences, including obtaining procedure authorizations, schedules surgeries, patient registration, check out and scheduling.
    • Assist with allocation of staff and other resources, and ensures proper coverage while employees are out of the office. Prepares and enters weekly payroll in Supervisors absence
    • Trains employees in use of Epic, determines proficiency and evaluates if more training is needed, and ensures all mandatory training and compliance programs are attended by all employees.
    • Act as the go-to person for front desk staff. Provides ongoing support to new and current employees.
    • Responsible for assisting Administrative Manager with supervision of support staff and advises manager of areas of concern
    • Special projects as assigned
    • Maintains office supplies
    • Updates and maintains systems, reports problems accordingly
    • Serves as a liaison between patient and department administration, in the absence of manager. Attends intradepartmental meetings on a continuous basis
    • Assists patients with patient care issues, such as complaints regarding billing matters or services provided. Follows up with resident teams regarding medical concerns such as medication clarification, condition concerns etc.
    • Responsible for day-to-day coordination with Medical Director and Chief Resident to ensure coverage and flow of patient visits, and raises issues that may arise on the Unit.

    MINIMUM QUALIFICATIONS: To qualify you must have a Education: Bachelor's degree in business administration or related field. Experience: 2+ years Word, Excel, PowerPoint, Outlook, PHS, Logican, Intranet and Internet

    PREFERRED QUALIFICATIONS: BS Business Management. Minimum of 2 years of work experience. Word, Excel, PowerPoint, Outlook, PHS, Intranet and Internet.
