    POSITION SUMMARY: We have an exciting opportunity to join our team as a Administrative Coordinator Manhattan / Outpatient Pediatrics. In this role, the successful candidate is responsible for coordinating and supporting administrative activities for the Fink Ambulatory Care Center location and providing leadership to ensure efficient administrative operations and optimal patient/family experience. This individual is responsible for helping to optimize patient flow and throughput with a key focus on driving and fostering family-centered care and service excellence. Under the guidance of the Fink Center leadership, this individual will assist in identifying areas of opportunity, and help to pilot new processes, systems and activities that will ultimately improve overall family experience and Press Ganey scores. The Coordinator will also proactively round on patients/families to keep them informed about any delays, offer assistance with checking in, signing up for MyChart, and perform other tasks that will provide patients/families with a seamless experience before, during and after their visit.

     

    JOB RESPONSIBILITIES:

    • Demonstrates knowledge and practice of the organization’s Core Values and Hassenfeld Children’s Hospital partnership behaviors and safety behaviors in all aspects of daily work.
    • Coordinates and oversees the day-to-day activities of all offices and divisions including but not limited to supply/inventory/equipment management, payroll, scheduling,  clinical/regulatory compliance, security, and related activities.  Develops/maintains policies, procedures and systems which ensure productive and efficient administrative operations and reflect the needs of patients and their families. . Acts as the liaison between divisional administrative employees and the Fink Center leadership.
    • Supports the Fink Center Leadership team including Administrative Supervisor, Associate Director and Director of Operations and Programs in problem solving and project planning/coordination to ensure efficient service. Assists in the development and execution of stated goals and objectives, and serves as a primary point of contact for all administrative issues affecting all Fink divisions, individuals, external institutions and agencies. Under the direction of the Admin Supervisor, coordinates the administrative efforts of all offices/divisions/front desks.
    • Serves as the liaison and a key point of contact between the Fink Center operations team including charge nurses and patients/families. Proactively designs, implements and improves systems and processes to optimize the patient/family experience. Actively listens to patient concerns, and escalates to appropriate management as they arise, performing service recovery as needed.
    • Researches and analyzes data related to Epic and administrative functions: supply/inventory management, payroll, scheduling, clinical/regulatory compliance, etc. Prepares a variety of communications, reports, charts, written documents, etc detailing the findings which may be highly sensitive and confidential in nature. Reviews findings with the Director of Operations and Programs and Administrative Supervisor.
    • Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
    • Delegates assignments efficiently, specifically with front desk staff, and monitors them through completion. Utilizes personnel efficiently by delegating assignments based on employee skill and ability in order to meet deadlines and establish adequate personnel coverage.
    • Ensures front desk and overall operations are running efficiently and in a family-centered manner; provides back up support as needed.
    • Supports providers with day-to-day issues related to their clinic workflow/schedules. Partners with nurse coordinator and nurse manager when clinical issues arises.
    • Assists in managing in-basket workflows, and appropriately monitoring requests for appointments, requests for test result follow up, and appropriately disseminating messages to stakeholders as needed
    • Assists in reviewing physician templates and cancelation reports to see where there are opportunities to schedule appointments, work waitlists and improve patient access.
    • Understands scheduling scripts and nuances for each program/division.
    • Support the Patient Experience Champion while participating in focused work groups to create, develop, and implement best practices.  Models and coaches staff to consistently engage with patients and their families in a compassionate, caring and kind manner. Utilizes qualitative and quantitative feedback from families to improve and optimize the patient/family experience.
    • Anticipates patient needs and communicates with appropriate staff and leadership to manage and facilitate solutions
    • Special projects and other duties as assigned.

     

    MINIMUM QUALIFICATIONS: To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.
