Office Administrative Assistant - Flexible Position Our company is growing rapidly, and we need a right-hand person to help us get things done. When wrapping up a meeting, we need assistance with follow-ups and notes. This means you need to listen carefully, take diligent notes, draft great emails, and be willing to hold people accountable. We keep a tidy ship here at Elite. We need someone who can help organize, sort through, and file both physical and digital piles of paperwork—and be able to find these files days or even months later when they are needed. You must be patient, organized, and have a great memory. Our office is busy, and sometimes we travel for work, seminars, etc. We need someone to help fuel our cars, attend to personal errands, and return the unnecessary things we purchased on Amazon. This means you need to be able to drive, complete errands efficiently, and become best friends with the clerk at Mail Mart. Emails come in at the speed of light, and our days are booked from dawn till dusk. We need someone who can get familiar with our business, as well as our friends and family. The Office Administrative Assistant’s primary role is to support the Founding Partner with organizational tasks within the firm and their personal life, allowing them to refocus time and energy on growing the firm. Additionally, the Office Administrative Assistant will receive firm-related tasks from the Director of Operations. Compensation • $18 - $20 hourly • Potential for a discretionary bonus based on performance Responsibilities: Primary Duties The Office Administrative Assistant will be responsible for the following tasks: • Calendar Management : Maintain the Founding Partner’s calendar by ensuring all necessary details are included in each entry, preventing double bookings, aligning appointments with the Partner’s block scheduling, and booking appointments appropriately based on availability and travel time. • Professional Appointments : Schedule meetings with referral partners, vendors, management coaches, and more. • Personal Appointments : Handle scheduling for medical visits, personal care, auto detailing, and other personal commitments. • Email Organization : Manage the Partner’s emails by reviewing and prioritizing incoming messages, sorting them into appropriate folders, and responding according to the Partner’s instructions. Aim to achieve a “Zero Inbox” at the end of each workday. • Meeting Support : Organize and attend meetings with the Partner, take comprehensive notes, convert them into actionable tasks, and follow up with attendees to ensure the completion of these tasks. • Travel Arrangements : Book travel for both professional and personal needs, and provide assistance with any modifications or additional requirements during the Partner’s travel. • Weekly and Daily Meetings : Participate in weekly one-on-one meetings with the Partner to optimize productivity for the week and attend daily stand-up meetings to review and prioritize tasks for the day. • Personal Assistance : Handle personal tasks for the Partner, including dry-cleaning, grocery shopping, and scheduling personal appointments. • Project Management & Event Planning: Assist with project management and event planning for both the Partner and the firm’s activities. • Office Supply Management : Order office supplies and other equipment as requested by the Director of Operations. • Additional Tasks : Perform other duties as assigned by the Partner or Director of Operations.
