    Are you a detail-oriented, organized individual with a passion for administrative support? We’re seeking an Office Administrator to join our team and provide critical support across multiple departments. In this role, you’ll manage a variety of tasks to ensure smooth daily operations, support production, assist HR and accounting functions, and provide excellent customer service.

    Position Overview:

    As the Office Administrator, you will be responsible for managing daily office tasks, coordinating office supplies, assisting with accounting and payroll functions, supporting HR, and backing up customer service and production. This is a versatile role that requires a proactive, organized, and collaborative approach to keeping the office running smoothly.

    Key Responsibilities:

    Administrative:

    • Sort and distribute incoming mail daily.
    • Answer, screen, and direct phone calls; greet visitors warmly.
    • Maintain office supplies and reorder when necessary.
    • Provide clerical support for accounts payable (A/P) check runs, mailing checks, and filing paid invoices.

    Production Support:

    • Enter daily production data into monthly spreadsheets.
    • Prepare job travelers with product prints, paperwork, and labels.
    • Print box and barcode labels for production, consolidation, and shipping.
    • File and update product prints and job travelers.
    • Close obsolete numbers in the M1 system.

    Cross-Departmental Support:

    • Cross-train with the Customer Service Specialist to cover for vacations or absences.
    • Assist the Quality Department with maintaining and updating Procedures and the Quality Manual.
    • Assist with entering daily receipts for the supply chain team.

    Human Resources Support:

    • Assist with company functions and new hire documentation.
    • Deliver messages to hourly employees and assist with confidential employee mailings.
    • Shred confidential documents.

    Customer Service:

    • Provide backup for order entry as needed.

    Accounting Support:

    • Assist with Accounts Receivable and Accounts Payable duties.
    • Collaborate with the accounting team to ensure reports and financial obligations are met in accordance with company policies.
    • Support payroll processing by producing accurate and timely data.

    Additional Responsibilities:

    • Perform other duties as required to ensure smooth office operations.

    Qualifications:

    Education:

    • High School Diploma required; Associate’s Degree or coursework in business or a related field preferred.

    Skills & Abilities:

    • Strong attention to detail with the ability to prioritize multiple tasks.
    • Excellent verbal and written communication skills.
    • Proficient in Microsoft Office, M1 system, email, and internet.
    • Honest, ethical, and professional conduct in all interactions.

    Experience:

    • 2-3 years of experience in an office environment.

    Working Conditions:

    • Standard office and production environment.
    • Occasional overtime and flexibility required to meet deadlines.

    Physical Requirements:

    • Ability to sit for extended periods.
    • Ability to lift up to 25 lbs.
