    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant to join our team. The Administrative Assistant role provides essential support to the construction team by handling day-to-day office tasks, managing communications, and assisting in the coordination of construction projects. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

    Responsibilities

    Answer and direct phone calls, emails, and other correspondence.

    Organize and schedule meetings and appointments for management and project teams.

    Prepare and edit documents, reports, and correspondence as needed.

    Manage office supplies inventory and place orders as necessary.

    Assist with onboarding new staff and maintaining employee records.

    Provide administrative support to project managers, site supervisors, and the construction team.

    Assist with the preparation and distribution of construction project documents (contracts, bids, permits).

    Coordinate travel arrangements, accommodations, and meetings for the project team.

    Assist in compiling reports for project status updates, budget tracking, and compliance.

    Serve as the point of contact for vendors, subcontractors, and clients, ensuring smooth communication and issue resolution.

    Track and manage incoming and outgoing invoices, receipts, and payments.

    Assist with the preparation of client proposals, contracts, and bids.

    Maintain and ensure proper documentation related to health, safety, and environmental regulations.

    Assist with the preparation and submission of required reports to local authorities or regulatory bodies.

    Qualifications

    High school diploma/GED (Required)

    Associate’s degree or administrative training (Preferred)

    Excellent written and verbal communication abilities.

    Previous experience as an Administrative Assistant or in a similar position

    Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint

    Highly organized with excellent time management skills and the ability to prioritize projects

    Ability to handle multiple tasks simultaneously and work in a fast-paced environment.

    Attention to detail and problem-solving skills.

    Familiarity with construction terminology, permits, and project processes is a plus.

    Bilingual is a plus (English/Spanish)
