    Employment Opportunity:

    Our company is seeking an Office Administrator to join our team immediately. This role will include managing the daily business operations, including recruitment, onboarding/offboarding, employee relations, performance management, and benefits administration. Additional tasks include providing exceptional customer service and responding to customer questions or concerns over the phone, managing sales pipelines, answering phones, implementing general sales and operations policies and assisting in overall supervision of the office's needs. This is a fast-paced and dynamic role that requires someone who is detail-oriented, organized, an excellent communicator, has the ability to multi-task effectively and be passionate about fostering a positive workplace culture.

    Job Responsibilities:

    Assist with the recruitment process, interviewing, onboarding/terminations, and employee relations.

    Manage employee benefits programs, maintain and update employee records, assist with performance management processes, performance reviews and employee development plans, support training and development initiatives.

    Develop, update, and maintain relevant office procedures.

    Answer incoming calls, forward calls and respond to inquiries in a professional and courteous manner, provide basic and accurate information to clients via phone/email, assist clients with making appointments, receive, sort and distribute daily leads/messages to sales agents, as needed.

    Perform data entry tasks to update customer records and maintain accurate information.

    Manage client pipeline and enter information into CRM software.

    Utilize phone etiquette to ensure positive customer interactions.

    Collaborate with other team members to achieve department goals.

    Follow company policies and procedures to ensure compliance.

    Follow up with clients to ask for reviews, address any complaints and maintain client satisfaction.

    Ensure office area is organized and presentable, with all necessary stationery and materials (e.g. pens, paper, etc.).

    Qualifications:

    Must have a great attitude and friendly personality.

    Must be very punctual and dependable.

    Ability to work in a fast-paced environment while maintaining attention to detail.

    Possess excellent verbal and written communication skills.

    Communicate professionally and in a timely manner with management and employees.

    Ability to type quickly and accurately.

    Proficient in using computer systems and navigating multiple software applications, including CRM, emails, texting and other communication software.

    Excellent problem-solving skills and ability to think quickly.

    Ability to handle sensitive information with confidentiality and discretion.

    Proficient in Microsoft Office Suite (ie. Outlook, Excel, & Word).

    Proficiency with Monday.com, Forth (fka Debt Pay Pro), ADP or Bambee is a plus.

    Fluent in English and Spanish-speaking is required.

    Shift Information:

    Typically Monday - Friday from 7:30am - 5:30pm Pacific time.
