This role will be instrumental in managing day-to-day HR functions, providing administrative support, and assisting the Operations Manager in growing our People Operations department.

    About the Role

    The Office Administrator at AidKit plays a key role in supporting HR and administrative functions to ensure smooth daily operations. Reporting to the Operations Manager, this role assists with employee inquiries, onboarding, compliance tracking, and administrative tasks, helping maintain a positive, productive work environment. This role is ideal for someone who is organized, proactive, and passionate about contributing to a supportive team culture.

    Key Responsibilities

    Day-to-Day HR Management:

    • Manage incoming HR requests from team members including fielding questions about HR programs, benefits and payroll.
    • Track un-submitted time cards before bi-weekly payroll.
    • Provide administrative support to the Operations Manager in onboarding and offboarding tasks.
    • Post new job openings, manage the applicant tracking system, and spearhead new system implementation.
    • Track and manage employee stipend spending.

    HR Program Support:

    • Update the company handbook (Mineral).
    • Support sabbatical and parental leave administration.
    • Assist with logistical tasks in performance review processes, ensuring timely feedback and evaluation.
    • Create and organize training modules in Trainual and support cross-functional teams with this tool.
    • Nice to have - Data Analytics and KPI Tracking: Track and report on key HR performance indicators (KPIs), providing insights to support continuous improvement and strategic decision-making.

    Administrative Support:

    • Assist Operations Manager with logistics for offsite and micro-meetup planning.
    • Maintain and organize all documents in our team drive, assigning naming conventions when necessary.
    • Employee Recognition: Assist in organizing employee appreciation initiatives, such as monthly recognitions or birthday/anniversary acknowledgments.
    • System Maintenance and Access: Manage user access to software tools, ensuring permissions are up-to-date for team members.
    • Manage organization of contracts from new vendors, and ensure all documentation is provided from vendor.

    Compensation and Location

    This is a part-time, remote position open to candidates in the Eastern Standard Time (EST) zone, with a starting compensation of $40/hour for approximately 20 hours per week to start.
