ALCO Designs is seeking a dedicated and detail-oriented Office Administrator to join our team. In this role, you will manage front desk functions and ensuring timely collection of outstanding debts, and maintaining positive relationships with clients. The ideal candidate will possess strong customer service skills and a solid understanding of financial concepts, enabling them to effectively communicate with clients regarding their accounts.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Identify account risks, potential credit problems, disputes, and other customer issues.
Generates reports and communicates potential risks
Contact customers regarding invoices / accounts which are considered past due.
Provide information as requested in order to facilitate a quick remittance. Obtain future pay information.
Documentation is critical, log conversations, e-mails and other communications.
Organize documentation to facilitate follow-up efforts. Initiate appropriate follow-up action on mail returned as undeliverable.
Maintain quality relationships with production and sales team. These relationships can be critical with collection efforts.
Prioritize portfolio so that collection efforts result in maximum benefits. Watch for key indicators that a customer account is falling behind, becoming delinquent.
Special projects as necessary.
Process credit card, cash, ACH payments.
Other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Bi-lingual (Spanish/English).
Skilled in use of Microsoft Windows, Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, Google Apps, and relational databases. Knowledge of Quickbook is a plus.
Excellent written and oral communication skills.
Ability to show good judgment and tact in dealings with people from all walks of life.
Ability to develop and maintain relationships with a customer service focus while setting boundaries.
Ability to work independently and complete complex and confidential administrative tasks.
Must be able to maintain confidentiality of privileged and sensitive personnel and client-related material.
Proficient with office communication equipment and machines (telephone, copier, adding machine, personal computer, computer printer and scanner.
Must demonstrate excellent attention to detail and excellent proof-reading skills.
The ability to clearly understand financial terms and information.
Skills in preparing reports and presentations that summarize financial data for CEO.
EDUCATION AND EXPERIENCE:
High Scholl Diploma required.
1 year of accounting or collection experience.
2 years + of Customer service experience in an office setting.
Excellent communication skills, both written and verbal with focus on customer service.
Ability to work independently while maintaining attention to detail in all tasks.
