    Job Overview: We are seeking a highly organized and detail-oriented Office Administrator & Bookkeeper to oversee financial transactions and administrative operations for High Caliber Organics, Inc. This role combines bookkeeping responsibilities with office administration to ensure efficient and accurate financial record-keeping while maintaining smooth day-to-day business operations. The ideal candidate is a proactive problem solver with strong communication and organizational skills.

    Key Responsibilities:

    Bookkeeping:

    Manage accounts receivable, including posting payments, verifying transactions, reconciling ledgers, and processing invoices.

    Handle accounts payable by preparing bills, processing payments, verifying purchase orders, and managing vendor relations.

    Maintain accurate and up-to-date financial records in QuickBooks, ensuring compliance with internal policies.

    Conduct monthly audits to verify financial accuracy and ensure timely reconciliation of accounts.

    Generate financial reports, including department profit and loss (PNL) statements and budget updates for management.

    Assist in tax calculations, including quarterly City, County, and State taxes and annual Federal taxes.

    Collaborate with external accountants to ensure proper financial reporting and compliance.

    Monitor trends in financial transactions and suggest improvements for efficiency.

    Work with collections companies/attorneys for payment mediation when necessary.

    Office Administration:

    Oversee daily office operations, including phone and email correspondence.

    Maintain company records, databases, and filing systems.

    Coordinate meetings, appointments, and company events.

    Monitor office supply inventory and place orders as needed.

    Handle incoming and outgoing mail and packages.

    Prepare internal memos, reports, and presentations as required.

    Ensure a well-organized and efficient office environment that supports company operations.

    Manage office traffic, including letting visitors in through the gate, buzzing them in, having them sign in, and directing them to the proper department with a visitor pass.

    Qualifications:

    Proven experience as a Bookkeeper, Office Administrator, or in a similar role.

    Strong knowledge of QuickBooks and basic accounting principles.

    Excellent organizational skills with the ability to multitask and prioritize effectively.

    Strong verbal and written communication skills.

    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    High attention to detail and accuracy in financial and administrative tasks.

    Ability to handle sensitive information with confidentiality and professionalism.

    Strong problem-solving and decision-making skills.

    Ability to work independently and collaboratively in a fast-paced environment.

    Education & Experience:

    High school diploma or equivalent (additional qualifications in accounting or office administration are a plus).

    Experience with bookkeeping and office management software.
