Job Summary We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing the day-to-day operations of the office, ensuring smooth communication between departments, and providing administrative support to enhance productivity. This role requires a proactive individual who can multitask effectively and maintain a professional demeanor in all interactions.
Duties
Manage phone systems and ensure proper phone etiquette is maintained at all times.
Provide clerical support including filing, data entry, and document management.
Oversee medical office management tasks, ensuring compliance with regulations and maintaining patient confidentiality.
Communicate effectively with staff, vendors, and clients to facilitate smooth operations.
Handle vendor management including contracts, negotiations, and relationship building.
Develop and implement training programs for new employees to ensure they are well-equipped for their roles.
Plan and coordinate office events, meetings, and other activities to foster team collaboration.
Utilize QuickBooks/ Excell for financial record keeping and basic accounting tasks as needed.
Skills
Strong organizational skills with the ability to prioritize tasks efficiently.
Excellent verbal and written communication skills to interact with diverse groups effectively.
Proficiency in phone systems and a solid understanding of phone etiquette.
Experience in medical office management is preferred but not required.
Familiarity with vendor management practices is a plus.
Ability to develop training materials and conduct training sessions for staff members.
Event planning skills to organize successful office functions and gatherings.
Competence in using QuickBooks for administrative financial tasks is advantageous.
