  • Responsibilities

    Purpose:

    The Administrative Assistant is responsible for supporting daily office operations by managing a multi-line phone system, maintaining professionalism when interacting with guests and team members, and assisting with clerical and administrative tasks. This role requires an individual who is detail-oriented, organized, and aligns with the company's core values.

    Essential Duties and Responsibilities:

    The primary responsibilities of this position include, but are not limited to:

    Operating a multi-line phone system, promptly and professionally answering and transferring calls from 8:00 a.m. to 5:00 p.m.

    Greeting guests in a friendly, professional, and hospitable manner.

    Typing memos, taking notes, and handling correspondence. Assisting with asset entry into designated systems as assigned.

    Performing a variety of clerical tasks and daily data entry.

    Communicating with the direct supervisor to provide updates and ensure task alignment.

    Assisting team members with daily tasks and projects as needed.

    Managing office supplies, monitoring inventory, placing orders, and verifying receipt of supplies.

    Supporting Accounts Payable (AP) with ordering supplies and Accounts Receivable (AR) with PO requests and invoices.

    Helping with new hire paperwork and onboarding.

    Supporting safety meetings and assisting the QHSE Manager with safety-related tasks.

    Running errands for the shop, such as picking up orders or purchasing supplies.

    Representing and aligning daily actions with company core values.

    Qualifications:

    High school diploma or GED certificate required.

    Bilingual (written and verbal) is helpful but not required.

    A valid driver’s license is necessary.

    Ability to prioritize tasks, complete daily assignments, and adhere to schedules.

    Attention to detail for ensuring accuracy and completeness.

    Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.

    Physical and Other Requirements:

    Ability to perform light errands, such as purchasing or picking up supplies as needed.

    Compensation & Benefits:

    Weekly Pay: Consistent weekly payroll schedule.

    Insurance: Eligible for company insurance after 60 days, with the company covering a portion of the cost.
