As our Office Administrator, you’ll play a key role in keeping our shop organized and efficient — from client scheduling to basic admin and job tracking. This role is ideal for someone who enjoys being the go-to person in the office without the pressure of managing a team or running operations. Responsibilities: What You’ll Do Scheduling & Job Coordination • Schedule client drop-offs and pick-ups and update calendars accordingly. • Communicate timelines and changes between clients and internal teams (print, production, install). • Track the status of each job in progress and flag any delays or needs to the owner or production team. Client Communication • Greet clients, answer phone calls, and respond to emails professionally. • Provide basic updates to clients about project status and scheduling. • Administrative & Financial Support • Handle Accounts Receivable (AR) : Create and send invoices, follow up on payments. • Handle Accounts Payable (AP) : Track and organize vendor bills, prepare for payment. • Assist with basic payroll support and time tracking. • Maintain accurate records and digital job files. • Support the owner and team with other clerical or reporting needs as assigned. Qualifications: What You Bring • 2+ years experience in an administrative, AR/AP, or front desk role. • Experience with QuickBooks, accounting tools, CRM (Go High Level), Monday.com or spreadsheets is a strong plus. • Excellent organization and time management skills. • Strong communication (written and verbal) and customer service skills. • Comfortable using scheduling software, email, and basic digital tools. • Positive, reliable, and team-oriented attitude. Compensation: $40,000 - $50,000 yearly
